About the Role

We are seeking an experienced Onboarding Executive to ensure a smooth and seamless joining experience for our candidates. You will act as the bridge between candidates, clients, and internal teams, managing all pre- and post-joining formalities while maintaining high standards of professionalism and compliance.

Key Responsibilities

  1. Candidate Onboarding

Coordinate end-to-end onboarding process for selected candidates in the staffing & recruitment industry.

Collect and verify all required documentation (KYC, academic, work experience, background check forms).

Prepare and share joining kits, welcome emails, and induction schedules.

Ensure candidates are guided through company policies, processes, and compliance requirements.

  1. Client & Internal Coordination

Liaise with clients' HR teams to align onboarding schedules and requirements.

Coordinate with recruitment and payroll teams for candidate details and timely processing.

Act as the single point of contact for onboarding-related queries.

  1. Compliance & Process Management

Maintain accurate records in HRMS/ATS systems.

Ensure statutory compliance (PF, ESIC, PAN, Aadhaar, etc.) and client-specific mandates are met.

Track and update candidate joining status and provide regular MIS reports to management.

  1. Employee Engagement (Post-Joining)

Follow up with candidates during the first 30/60/90 days to ensure a positive joining experience.

Address any initial concerns to improve retention rates.

Key Skills & Competencies

Proven experience in onboarding, HR operations, or recruitment coordination (preferably in staffing & recruitment).

Strong communication and interpersonal skills.

Attention to detail with ability to handle multiple onboarding processes simultaneously.

Knowledge of MS Office (Excel, Word, Outlook) and HR systems (Hirecraft, Zoho, etc. preferred).

Familiarity with statutory compliances in staffing industry.

Educational Qualification

Graduate / Postgraduate in HR, Business Administration, or related field.
