Role Overview
We are looking for a detail-oriented and proactive
Project
Accountant & Admin Executive
to support our finance and administrative operations. This individual will play a crucial role in vendor coordination, financial documentation, compliance management, and internal office operations.
Key Responsibilities
Accounting & Financial Support
- Collect quotations and prepare/issue
Purchase Orders (POs)
and
Work Orders (WOs) - Coordinate with vendors for
timely delivery
,
documentation
, and
payment follow-ups - Handle
vendor registration
on client portals and upload supporting documents - Prepare monthly
vendor payment lists
and coordinate with the CA team for
TDS, GST
and
payment processing - Track and document:
- Monthly vendor bills
- Office operational expenses
- Managing Director's personal expenses
- Maintain and update
petty cash records
for both the office and project sites - Assist in
basic financial documentation
and maintain proper record-keeping
Administrative Support
- Manage daily administrative tasks: documentation, courier handling, and office supply management
- Maintain employee attendance records and prepare
monthly salary sheets - Draft and send
Intent Letters
and
Appointment Letters
to new hires - Conduct
background verification
for new employees and ensure all supporting documents are collected - Handle full travel arrangements:
- Flight bookings
- Hotel reservations
- Cab coordination
for airport pickup/drop - Support in
bank-related tasks
such as deposits, withdrawals, and documentation - Ensure all documentation required for
client compliance and audits
is maintained and updated
Qualifications & Skills
- Bachelor's degree in
Commerce
,
Accounting
, or
Business Administration - 2+ years of experience in accounting and administration roles
- Proficient in MS Excel, Tally, Zoho Books and basic accounting principles
- Excellent organizational and time management skills
- Strong communication and coordination abilities
- Ability to multitask and handle responsibilities across different verticals
- High attention to detail and confidentiality
