Job Summary
The Executive Secretary will provide high-level administrative and organizational support to the Director, ensuring efficient management of schedules, communication, confidential documents, and daily operations. The role demands professionalism, discretion, and strong coordination skills.
Key Responsibilities
- Manage Director's calendar, appointments, travel arrangements, and meeting schedules.
- Handle confidential correspondence, emails, and telephone communication professionally.
- Prepare official letters, memos, reports, presentations, and meeting minutes.
- Coordinate internal and external meetings, conferences, and follow-up actions.
- Maintain filing system, important documents, databases, and office records.
- Liaise with internal departments, stakeholders, and external contacts on behalf of the Director.
- Monitor tasks, deadlines, and assist in prioritizing workflow and personal commitments.
- Provide support in business documentation, research, and data compilation when required.
Qualifications & Skills
- Bachelor's degree in Business Administration or related field.
- 3–5 years of experience as Executive Secretary/Executive Assistant (preferably in corporate/retail sector).
- Excellent communication (English & Hindi/Arabic preferred).
- Strong MS Office skills (Word, Excel, PowerPoint, Outlook).
- Excellent time management, coordination, and multitasking ability.
- High level of confidentiality, discretion, and professionalism.
- Pleasant personality with strong interpersonal & organizational skills.
- Arabic knowledge is a plus.
