Job Summary

The Executive Secretary will provide high-level administrative and organizational support to the Director, ensuring efficient management of schedules, communication, confidential documents, and daily operations. The role demands professionalism, discretion, and strong coordination skills.

Key Responsibilities

  • Manage Director's calendar, appointments, travel arrangements, and meeting schedules.
  • Handle confidential correspondence, emails, and telephone communication professionally.
  • Prepare official letters, memos, reports, presentations, and meeting minutes.
  • Coordinate internal and external meetings, conferences, and follow-up actions.
  • Maintain filing system, important documents, databases, and office records.
  • Liaise with internal departments, stakeholders, and external contacts on behalf of the Director.
  • Monitor tasks, deadlines, and assist in prioritizing workflow and personal commitments.
  • Provide support in business documentation, research, and data compilation when required.

Qualifications & Skills

  • Bachelor's degree in Business Administration or related field.
  • 3–5 years of experience as Executive Secretary/Executive Assistant (preferably in corporate/retail sector).
  • Excellent communication (English & Hindi/Arabic preferred).
  • Strong MS Office skills (Word, Excel, PowerPoint, Outlook).
  • Excellent time management, coordination, and multitasking ability.
  • High level of confidentiality, discretion, and professionalism.
  • Pleasant personality with strong interpersonal & organizational skills.
  • Arabic knowledge is a plus.
