Sales Coordinator:

  1. Administrative Support :

  2. Assist the Sales team in preparing proposals, contracts, and presentations for potential clients.

  3. Maintain and update the sales database with client information, leads, and follow-up activities.

  4. Communication :

  5. Serve as a point of contact for clients, responding to inquiries and providing information about hotel services, packages, and promotions.

  6. Coordinate with other departments to ensure smooth execution of sales activities and client requests.

  7. Reporting :

  8. Prepare regular sales reports, tracking performance metrics and providing insights to the Sales Manager.

  9. Assist in organizing sales meetings and events, including preparing agendas and taking minutes.

  10. Market Research :

  11. Conduct market research to identify potential clients and industry trends, assisting the Sales team in developing strategies to target new business.

  12. Client Relationship Management :

  13. Build and maintain relationships with clients, ensuring their needs are met and expectations exceeded.

  14. Follow up with clients post-event or stay to gather feedback and encourage repeat business.

Back Office Assistant:

  1. Data Entry and Management :

  2. Maintain accurate records of sales activities, client interactions, and reservations in the property management system (PMS).

  3. Ensure all documentation is organized and easily accessible for the Sales and Reservations teams.

  4. Inventory Management :

  5. Assist in managing inventory levels for promotional materials and sales collateral.

  6. Coordinate with the marketing team to ensure that all promotional materials are up to date and available.

  7. Scheduling and Coordination :

  8. Assist in scheduling appointments and meetings for the Sales team, ensuring effective time management.

  9. Coordinate travel arrangements for Sales team members as needed.

Reservation Profile:

  1. Reservation Management :

  2. Receive and process reservations via phone, email, and online platforms, ensuring accuracy and attention to detail.

  3. Maintain an organized filing system for reservation records and correspondence.

  4. Guest Interaction :

  5. Communicate with guests regarding their reservations, special requests, and any changes to their bookings.

  6. Notify relevant departments of VIP arrivals and special guest requirements.

  7. Reporting :

  8. Prepare daily occupancy reports and assist in forecasting room availability and revenue.

  9. Monitor and analyze reservation trends to provide insights for pricing and promotional strategies.

  10. Customer Service :

  11. Provide exceptional customer service to guests, addressing inquiries and resolving issues promptly and professionally.

  12. Ensure that all guest preferences and special requests are recorded and communicated to relevant departments. Role & responsibilities
