About The Role
The Controller of Examinations (CoE) is responsible for the overall management, supervision, and administration of the university's examination system from pre-examination planning to post-examination result declaration. The role demands integrity, efficiency, and leadership to ensure that all examinations are conducted fairly, securely, and in accordance with university statutes and regulatory norms.

Key Responsibilities

  • Pre-Examination Responsibilities
  • Prepare and publish the academic and examination calendar in advance.
  • Plan and schedule examinations, ensuring timely communication to all departments.
  • Arrange for secure question paper setting, printing, and custody.
  • Manage student registration processes through ERP or other digital platforms.
  • Appoint and coordinate with examiners, moderators, and invigilators.
  • Ensure logistics such as seating plans, hall arrangements, and resource allocation.
  • Examination Conduct
  • Supervise and ensure smooth conduct of examinations across all programs.
  • Maintain strict confidentiality and prevent malpractice or misconduct.
  • Monitor invigilation, hall supervision, and adherence to examination protocols.
  • Ensure compliance with university and statutory guidelines.
  • Post-Examination Responsibilities
  • Oversee evaluation, tabulation, and publication of examination results.
  • Coordinate revaluation, verification, and grievance redressal processes.
  • Manage the preparation and issuance of marksheets, transcripts, and certificates.
  • Maintain secure custody of examination records, scripts, and documentation.
  • Prepare reports and present examination outcomes to the Academic Council and Vice Chancellor.
  • Governance & Compliance
  • Ensure all examination activities comply with UGC and university statutes.
  • Take disciplinary action where necessary against malpractice or irregularities.
  • Regularly review examination results and recommend improvements to processes.
  • Implement technology-driven systems for efficiency, transparency, and record keeping.

Qualifications & Experience

  • Postgraduate degree with a minimum of 55% marks (Engineering graduate preferred).
  • Minimum 10 years of administrative experience, with significant exposure to university examination systems.
  • Age between 45–50 years.
  • Proven record of integrity, confidentiality, and decision-making in academic administration.
  • Experience working in multiple institutions preferred (not confined to a single organization long-term).
