The Sales & Marketing Coordinator – Operations & International Support will be responsible for managing day-to-day coordination across sales operations, production reporting, container tracking, sample and courier logistics, and marketing assistance for both India and U.S. teams. This role ensures smooth communication between departments, timely reporting, accurate documentation, and professional representation of Glowstone during client visits and marketing activities.

Key ResponsibilitiesLogistics & Operations Coordination

· Track and maintain daily updates on container dispatches, shipments, and in-transit status.

· Coordinate with logistics partners, shipping agents, and internal teams for timely movement of goods.

· Maintain documentation for container movements and ensure status visibility to management.

· Support sample export documentation, invoice preparation, and payment follow-up processes.

· Monitor dispatches and provide regular production and logistics reports to management.

Production & Reporting

· Coordinate with the Production and Factory teams for daily output reports and order status updates.

· Maintain production MIS (Management Information System) for all domestic and export orders.

· Generate weekly and monthly performance reports for management review.

Sample & Courier Management

· Oversee sample preparation, dispatch, and courier tracking for clients in India and the U.S.

· Maintain a record of dispatched samples, delivery confirmations, and client acknowledgments.

· Ensure samples are properly labeled, documented, and accompanied by invoices when required.

· Handle courier vendor coordination, cost optimization, and timely delivery tracking.

Invoice & Payment Coordination

· Prepare and verify proforma invoices and commercial invoices for domestic and export shipments.

· Liaise with accounts and finance teams for payment tracking, client follow-ups, and reconciliations.

· Ensure all related supporting documents are filed and accessible for audit or management review.

Marketing & Branding Support

· Coordinate the creation and distribution of marketing materials, stickers, brochures, and catalogues.

· Assist in gathering and maintaining a visual library of product photos, slab images, and videos.

· Collaborate with marketing agencies and designers for content requirements.

· Support management and marketing heads in planning exhibitions, digital campaigns, and promotions for India and U.S. markets.

· Ensure brand consistency in all outgoing communication and materials.

Client Handling & Visit Coordination

· Assist in organizing and managing client visits at factory or corporate office.

· Ensure the presentation of slabs, samples, and company materials is professional and well-prepared.

· Coordinate with the sales and operations teams to ensure a seamless experience during client interactions.

· Handle correspondence and post-visit follow-ups as required by the management.

Cross-Functional Coordination

· Act as the key link between Sales, Production, Logistics, Marketing, and Management.

· Maintain clear communication and follow-up on assigned actions to ensure timely execution.

· Support senior management in any ad-hoc tasks, reports, or presentations related to sales and marketing performance.
