Role & responsibilities

We are looking for a highly organized, professional, and proactive Secretary to the Managing Director (MD) to provide comprehensive executive-level support in a fast-paced and dynamic work environment. This role requires excellent communication skills, discretion, and a keen eye for detail. The ideal candidate will manage the MDs calendar, coordinate meetings, handle confidential documents, and act as a liaison between the MD and various stakeholders.

Key Responsibilities :

Administrative Support

  • Manage and maintain the MDs daily schedule, appointments, and travel plans.
  • Handle email correspondence, phone calls, and messages on behalf of the MD.
  • Prepare, review, and format reports, presentations, and other business documents.
  • Maintain confidential files, records, and essential documentation.
  • Serve as the first point of contact for internal teams and external stakeholders.

Meeting Coordination & Communication

  • Organize executive and board-level meetings, conferences, and special events.
  • Prepare agendas, presentations, and supporting documents for meetings.
  • Take detailed minutes, document action items, and follow up on deliverables.
  • Coordinate communication between departments, clients, vendors, and partners.

Preferred candidate profile

Required Qualifications & Skills:

  • Graduate in any discipline (Convent-educated candidates preferred).
  • Fresher or prior experience as a Secretary, Executive Assistant, or similar role (preferably in an MNC).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and email/calendar management.
