Position: Engineer / Manager Project Coordination (EPC / Tank Farm)

Location: Mumbai Head Office

Role Summary:

The Engineer / Manager Project Coordination shall act as the Single Point of Contact (SPOC) for centralized coordination and monitoring of multiple EPC projects, including Liquid Storage Terminals and Cross-Country Pipelines. The role ensures effective integration of engineering, procurement, construction, commissioning, and contractual deliverables in line with EPC/LSTK requirements.

Key Responsibilities:

Project Coordination & Control

• Support the Project HOD in overall project coordination, monitoring, and governance across EPC projects.
• Act as the central interface between Engineering, Procurement, Construction (EPC), Planning, QA/QC, HSE, and Contracts teams.
• Coordinate with the Project Planner to develop, review, and monitor project schedules, milestones, and look-ahead/ liquidation plans.
• Track engineering deliverables (AFC drawings, calculations, datasheets) and ensure alignment with construction priorities.

Engineering, Procurement & Construction Interface

• Ensure seamless coordination between engineering issue-for-construction (IFC/AFC) drawings and site execution.
• Monitor procurement status including PR release, vendor drawing approvals, manufacturing, inspection, dispatch, and site delivery.
• Track construction progress related to tank fabrication, erection, welding, NDT, hydro-testing, piping fabrication, and pipeline installation.
• Identify interface issues between civil, mechanical, piping, electrical, and instrumentation disciplines and support timely resolution.

Progress Monitoring & Reporting

• Collect actual progress data from project sites and validate quantities and milestones achieved.
• Coordinate for project schedule updation and develop reliable schedule forecasts, productivity trends, and recovery plans.
• Prepare weekly and monthly project progress reports, dashboards, S-curves, and management presentations.
• Monitor critical path activities and highlight risks, delays, and mitigation actions to management.

Contract, Claims & Change Management

• Support administration of EPC contracts in coordination with the Contracts & Commercial team.
• Assist in evaluation and documentation of variations, change orders, and scope deviations.
• Maintain records for delay analysis, claims substantiation, and EOT support documentation.

Documentation & Compliance

• Coordinate with the Document Control team to ensure controlled issuance and tracking of drawings, correspondence, MOMs, and reports
• Ensure compliance with contractual requirements, project specifications, applicable codes & standards (API, ASME, IS, OISD, etc.)
• Support compliance with QA/QC and HSE requirements across project execution

Client & Stakeholder Coordination

• Organize and coordinate internal and client review meetings, progress meetings, and technical discussions.
• Prepare agendas, record Minutes of Meetings (MOMs), and track action closures.
• Act as a coordination interface with clients, PMC/consultants, statutory authorities, and third-party inspection agencies.

Commercial & Billing Support

• Compile client invoices and progress bills along with measurement sheets, progress certificates, and supporting documents.
• Coordinate with site and commercial teams to ensure timely certification and submission of invoices.

Qualifications & Experience:

• Bachelor's degree in mechanical engineering (mandatory)
• Proven experience in Tank Fabrication, Liquid Storage Terminals, and Cross-Country Pipeline Projects
• Minimum 5+ years of relevant EPC experience for Engineer level
• Minimum 10+ years of relevant EPC experience for Manager level

Skills & Competencies:

• Strong understanding of EPC / LSTK project lifecycle in Oil & Gas / Tank Farm projects
• Working knowledge of tank construction methodologies, piping works, and pipeline execution
• Proficiency in MS Excel, Word, PowerPoint, and project controls tools (Primavera / MS Project – preferred)
• Strong planning, coordination, and multitasking abilities
• Methodical, detail-oriented, and structured approach to work
• Ability to perform effectively under schedule pressure and in fast-track EPC environments
• Strong communication, stakeholder management, and reporting skills
• Ability to work independently as well as in cross-functional teams

Preferred (Added Advantage):

• Experience with API 650 tanks
• Experience of working in Enterprise Resource Planning (ERP) Software.
• Exposure to OISD norms and statutory approvals
• Experience of working with PMC / Design Consultant
