Business Process Excellence & Assurance Specialist

Role Purpose

To strengthen business execution through structured process reviews, accurate reporting and continuous improvement across functions. The role ensures that NxtWaves core processes are efficient, scalable and consistently executed through data-driven analysis and cross-functional collaboration.

About the Role

Were looking for a curious, analytical and execution-driven professional to join our Business Process Excellence & Assurance team.As a Specialist, youll work on identifying process gaps, analysing performance data, preparing detailed audit reports and driving closure on key improvement actions across departments such as Sales, Marketing, Delivery and Support.

This role is ideal for someone who loves finding better ways to get work done - using data, dashboards and automation - and who is passionate about making everyday operations smarter through AI and system thinking.

Youll collaborate with cross-functional teams, prepare insights for leadership and contribute to building scalable systems that power NxtWave's growth.

Key Responsibilities

Process Review & Improvement

• Conduct structured reviews of existing business processes to identify inefficiencies or inconsistencies.
• Map workflows and suggest process redesigns to improve execution quality and efficiency.
• Document current practices and define "to-be" workflows with clear accountability.

Data Analysis & Insight Generation

• Analyse process data and performance reports to identify gaps and trends.
• Prepare concise summaries and insights for leadership reviews.
• Track closure of improvement actions and ensure measurable impact.

Reporting & Monitoring

• Maintain trackers and dashboards to monitor process adherence and key performance metrics.
• Support in building real-time dashboards in collaboration with tech or analytics teams.
• Ensure reporting accuracy and consistency across departments.

Automation & AI Enablement

• Identify manual or repetitive tasks that can be automated.
• Experiment with AI tools (ChatGPT, Gemini, Power Automate, etc.) to simplify reporting, analysis, and documentation.
• Share learnings and ideas to improve team productivity using technology.

Cross-functional Collaboration

• Work closely with team managers and process owners to validate findings and implement improvements.
• Support the Manager and senior specialists in preparing audit summaries and executive reports.
• Follow up on open action points and ensure timely completion.

What We're Looking For

Experience & Background

• 2-4 years of experience in Process Excellence, Business Operations, Quality or Project Management.
• Prior experience in EdTech, Service Operations or fast-scaling environments preferred.

Analytical & Technical Skills

• Strong proficiency in Google Sheets / MS Excel; familiarity with SQL, BI tools or CRM dashboards is a plus.
• Ability to structure large amounts of information and translate data into meaningful insights.
• Curiosity to explore AI tools and automation to improve analysis or workflows.

Execution & Collaboration Skills

• Strong attention to detail with the ability to manage multiple process audits simultaneously.
• Structured problem-solver with bias for action and accountability.
• Ability to work with stakeholders across teams and present insights clearly.
