Role & responsibilities.

  1. Device Inventory & Allocation

  2. Maintain accurate and updated records of all devices and equipment.

  3. Monitor machine occupancy and utilization levels to maximize ROI.
  4. Validate machine requests from internal departments and external stakeholders.

  5. Oversee the allocation, dispatch, and recall of the devices as per operational needs.

  6. Logistics & Dispatch Management

  7. Manage the dispatch and return process for the devices, ensuring timely delivery and recovery.

  8. Coordinate with logistics partners and internal coordinators for smooth machine movement.
  9. Ensure confirmation of machine receipt from field teams or clients.

  10. Track field machine movement and update system records accordingly.

  11. Compliance & Audit

  12. Conduct regular audits of machine inventory, usage, and returns.

  13. Ensure accuracy checks on documentation, dispatch, and recovery activities.
  14. Implement penalty applications for delayed, missing, or mishandled equipment.

  15. Drive missing machine recovery procedures.

  16. Reporting & Analysis

  17. Generate reports on machine utilization, ROI, and operational efficiency.

  18. Present periodic reports to senior management highlighting trends, issues, and solutions.

  19. Provide insights on fleet optimization and cost-saving measures.

  20. Coordination & Communication

  21. Act as the point of contact between managers, coordinators, and field staff for device operations.

  22. Allocate tasks and communicate workflows to the operations team.

  23. Provide guidance and training on device handling and process compliance.

  24. Technology & Vendor Management

  25. Leverage IoT systems and digital tools for real-time tracking of the devices.

  26. Coordinate with external platforms/vendors (IndiaMart, TradeIndia, etc.) for sourcing and operational support.

  27. Evaluate and recommend new technologies to improve fleet efficiency.

  28. HR & Team Management

  29. Oversee HR-related activities for the device operations team, including performance tracking and task allocation.

  30. Ensure workforce productivity and adherence to company policies.
  31. Support skill development and training initiatives for the operations team.

Preferred candidate profile

  • Strong understanding of fleet/machine/device management, preferably in the healthcare or medical device sector.
  • Knowledge of logistics, inventory management, and compliance frameworks.
  • Analytical mindset with the ability to generate and interpret operational reports.
  • Proficiency in MS Office, ERP systems, and IoT-based tracking solutions.
  • Strong communication, coordination, and leadership skills.
  • Ability to manage multiple stakeholders and ensure operational efficiency under pressure.
