Key Responsibilities:

1. Fleet Costing & Financial Control

  • Develop, maintain, and analyze detailed vehicle-wise and route-wise cost sheets.
  • Track all direct and indirect costs including fuel, tyres, maintenance, insurance, driver wages, tolls, and permits.
  • Evaluate cost per kilometre (CPKM), cost per trip, and profitability across vehicle types or routes.
  • Conduct monthly variance analysis to identify deviations from budgeted norms.
  • Monitor fleet operating margins and recommend corrective actions for cost leakages.

2. Budgeting, Forecasting & Cost Optimization

  • Prepare and manage annual and monthly fleet budgets in coordination with operations and management.
  • Track budget vs. actual performance across fleet, depot, and route levels.
  • Identify cost drivers and propose actionable strategies for cost reduction and efficiency improvement.
  • Assist in financial feasibility studies for new vehicle acquisitions or route contracts.
  • Provide data-driven insights for procurement negotiations and vendor performance evaluations.

3. Accounting, Reconciliation & Reporting

  • Ensure accurate and timely accounting of fleet-related transactions in ERP systems.
  • Oversee vendor bill reconciliations for fuel, tyres, spares, maintenance, and insurance.
  • Maintain vehicle-wise ledgers and cost centres for transparent expense tracking.
  • Prepare monthly and quarterly Fleet MIS reports, including cost trends, utilization, and savings analysis.
  • Support the finance team in monthly closings, provisions, and audit preparation.

4. Compliance & Documentation

  • Ensure accuracy and timeliness of insurance renewals, permits, fitness certificates, and registrations.
  • Coordinate with internal and statutory auditors, ensuring compliance with accounting and tax regulations.
  • Maintain proper records for GST, TDS, and other statutory filings related to fleet operations.
  • Implement strong internal controls to prevent cost overruns and revenue leakages.

Qualifications & Experience:

  • Education: B.Com / M.Com / MBA (Finance) / CMA / Inter CA preferred
  • Experience: 79 years in fleet costing, transport accounting, or logistics finance
  • System Proficiency: Tally ERP, SAP, or similar ERP platforms; Advanced Excel and analytics tools

Key Skills & Competencies:

  • Strong expertise in cost accounting and financial analysis specific to fleet operations
  • Proficiency in Excel (pivot tables, macros, dashboards) and ERP systems
  • Excellent analytical, reconciliation, and reporting capabilities
  • In-depth understanding of logistics operations, cost structures, and efficiency levers
  • Ability to manage large datasets with precision and accuracy
  • Strong coordination and interpersonal skills across finance, operations, and technical teams
