Key Responsibilities:

  • Greet and welcome visitors with a positive and professional attitude.
  • Answer, screen, and forward incoming phone calls promptly.
  • Manage the reception area to ensure it is clean, organized, and presentable.
  • Handle visitor inquiries and direct them to the appropriate department/person.
  • Maintain records of guest check-ins and appointments.
  • Receive and distribute mail, couriers, and deliveries.
  • Assist with scheduling, meeting room bookings, and basic admin support.
  • Support HR/Admin teams with documentation, filing, and coordination tasks.
  • Ensure compliance with security procedures (visitor badges, logbooks, etc.).
  • Perform other clerical duties such as photocopying, scanning, and data entry.

Requirements & Qualifications:

  • Bachelors degree / Diploma in any field (preferred) or HSC/Graduate with relevant experience.
  • 2–4 years of experience as a Receptionist, Front Office Executive, or in a similar role.
  • Proficiency in MS Office (Word, Excel, Outlook) and office equipment (printer, scanner, PBX).
  • Strong communication skills (verbal & written).
  • Pleasant personality, professional appearance, and excellent interpersonal skills.
  • Ability to handle multiple tasks and maintain confidentiality.
  • Good organizational and time management skills.
