Reporting To: Sales Manager / Director

Location: Bangalore- Jayanagar

Role Overview

The Sales Support Executive will play a critical role in ensuring operational excellence across inventory, dispatch, documentation, and CRM systems. This position demands precision, proactive coordination, and compliance with international standards, especially in handling chemical products and sample logistics.

Key Responsibilities

1. Inventory Management

  • Ensure 100% accuracy between Sales inventory records and physical stock.
  • Maintain minimum stock levels for critical materials with zero stockouts.
  • Prevent expired inventory in the warehouse, including samples.

2. Dispatch & Freight Management

  • Guarantee 100% on-time dispatches within committed timelines.
  • Achieve zero freight damage or returns due to poor handling.
  • Ensure 100% accuracy in dispatchesno incorrect shipments or missing items.
  • Dispatch 100% of sample requests within 2 business days.

3. Expired & Out-of-Specification (OOS) Materials

  • Safely dispose of 100% of expired/OOS materials within 30 days of identification, adhering to all regulatory guidelines.

4. Cost Management

  • Reduce freight costs by 510% annually through vendor negotiation and efficient planning.
  • Maintain or reduce logistics cost per shipment compared to the previous quarter.
  • Keep warehouse expenses within 5% of the allocated budget.

5. CRM & ERP Tracking

  • Update Salesforce order statuses accurately and promptly.
  • Complete 100% of assigned Salesforce tasks within deadlines.
  • Document next steps for every order to ensure transparency.
  • Ensure full traceability of work through Salesforce, including communications and timelines.

6. Attendance

  • Maintain a minimum of 90% monthly attendance.

7. Regulatory & Policy Compliance

  • Ensure 100% compliance with U.S. import/export regulations and internal company policies.

8. Continuous Improvement & Reporting

  • Conduct monthly reviews of inventory, logistics costs, Salesforce task completion, attendance, and dispatch accuracy.
  • Submit performance reports by the 5th business day of the following month.

9. Sample Dispatches

  • Ensure timely dispatch of all samples.
  • Follow up on sample results and assist in converting qualifications into sales.

10. Documentation

  • Send all required documents to U.S. customers promptly.
  • Coordinate with the plant to fulfill documentation needs of the sales team.

Qualifications & Skills

  • Bachelor's degree in Chemistry, Chemical Engineering, or Business Administration, BCOM,
  • 2–4 years of experience in sales support or logistics within the chemical industry.
  • Proficiency in Salesforce and ERP systems.
  • Strong organizational and communication skills.
  • Knowledge of chemical handling regulations and documentation standards.Role & responsibilities
