Facility Executive - Soft Services Job Description
A Facility Executive - Soft Services is responsible for managing the day-to-day operations of non-technical services within a facility, ensuring a clean, safe, and comfortable environment for employees, clients, and visitors. This role typically involves overseeing housekeeping, security, landscaping, pest control, waste management, and other support services.
Key Responsibilities:
1. Facility Maintenance and Operations:
Manage and oversee soft services including housekeeping, cleaning, pest control, landscaping, waste management, and security.
Ensure compliance with health, safety, and environmental regulations within the facility.
Coordinate and supervise service contracts with third-party vendors for soft services.
Monitor service levels and quality, ensuring adherence to agreed-upon standards.
Conduct regular inspections of the facility to identify and address any issues related to cleanliness or safety.
2. Team Management:
Supervise a team of soft services staff, ensuring they are properly trained, equipped, and motivated.
Develop and implement operational procedures to improve efficiency and effectiveness.
Conduct performance evaluations for team members and provide guidance and support for professional development.
Ensure proper staffing levels to meet operational needs and handle any absences or scheduling conflicts.
3. Budget and Cost Management:
Prepare and manage budgets for soft services, ensuring that all services are delivered within the allocated budget.
Monitor expenditures and identify opportunities for cost-saving measures without compromising service quality.
Approve purchase orders for supplies, equipment, and services related to soft services.
4. Vendor and Supplier Management:
Manage relationships with third-party vendors and service providers for soft services (e.g., cleaning companies, security services, etc.).
Conduct regular evaluations and performance reviews of contractors and suppliers.
Negotiate service contracts and pricing with vendors to ensure competitive and efficient service delivery.
5. Health and Safety Compliance:
Ensure that all soft services comply with health, safety, and environmental standards and regulations.
Develop and enforce protocols for waste disposal, cleaning, and maintenance in accordance with safety standards.
Conduct regular safety audits
Planning overall tasks based on daily maintenance,restorative needs and schedule cleaning requirements.
• Planning manpower quantity, scheduling and allocation.
• Planning logistical requirements &supplier co-ordination.
• Planning Skills and Training &knowledge upgrades for staff
• Familiarizing self and staff with Hospitality policies and practices.
• Co-ordination with client for various performance status and requirement
• Ensure welfare supports for team
• Ensuring excellent relationship building exercise with Client
• Actively take responsibility of hiring, developing , monitoring of staff
• Actively take responsibility for disciplining and firing policies.
• Daily meetings with supervisors and team (briefing) as relevant
• Daily &periodical priority work scheduling and allocation
• Daily areas, schedules and allocation verification.
