Job Summary

We are seeking a proactive and detail-oriented International Procurement & Logistics Executive to manage end-to-end international purchasing and logistics operations. The selected candidate will be responsible for placing purchase orders with our international suppliers (primarily based outside India), ensuring goods are manufactured and ready as per timelines, confirming product specifications and quality, and coordinating all logistics via sea and air freight to ensure smooth delivery to our Mumbai warehouse.

Key Responsibilities

Procurement & Order Management

Place timely and accurate purchase orders with international suppliers based on internal requirements.

Ensure that all orders match the specifications, quantities, and timelines agreed upon with the supplier.

Follow up regularly with suppliers to monitor production schedules and readiness of goods.

Maintain clear and detailed records of all communications, POs, invoices, and related documentation.

Quality & Compliance

Coordinate with suppliers to ensure all products meet quality standards and order specifications.

Arrange pre-shipment inspections (when required) and handle documentation for customs and compliance.

Resolve any issues related to product quality, discrepancies, or delays proactively.

Logistics & Shipping Coordination

Organize and coordinate international shipments via sea and air routes.

Liaise with freight forwarders, shipping lines, and customs agents to ensure smooth transit and clearance.

Track and manage all shipments to ensure timely and safe delivery to the Mumbai warehouse.

Handle all shipping documentation (Bill of Lading, Commercial Invoice, Packing List, etc.) and ensure timely submission to concerned authorities.

Inventory & Warehouse Coordination

Communicate closely with the Mumbai warehouse team to confirm delivery dates and incoming stock.

Update the inventory or ERP system with shipment details and incoming stock information.

Ensure all goods are received in proper condition and resolve any issues related to damages or losses during transit.

Preferred candidate profile

Bachelor's degree in Supply Chain Management, International Business, or a related field.

24 years of experience in procurement and/or logistics, preferably with international suppliers.

Strong knowledge of international shipping, documentation, and INCOTERMS.

Excellent communication skills in English (written and verbal).

Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus.

Ability to multitask and manage time effectively in a dynamic work environment.

Detail-oriented, reliable, and self-motivated.

Preferred Attributes

Prior experience in import operations or working with Indian ports and customs.

Familiarity with suppliers in China, Southeast Asia, or other global sourcing hubs.

Good negotiation skills and cultural sensitivity when dealing with foreign suppliers.

Willingness to work flexible hours to accommodate international time zones when required.
