Senior Executive - Payroll (APAC)
This position is a key member of the HR Shared Service team in India. The main responsibility is managing the end-to-end payroll function specifically for Philippines employees, ensuring accuracy, compliance, and timely processing of all payroll-related tasks.
Key Responsibilities
The role's duties can be grouped into four main areas:
1. Core Payroll Processing & Auditing
- Analyze and Validate Data: Scrutinize and validate HR statuses (hires, terminations, transfers) and complex pay/deduction components before sending them to external payroll vendors.
- Process Functions: Handle secondary payroll functions, including calculating final payroll, processing stop payments, managing employee share investment programs, and processing year-end balances and wiring.
- Accuracy Checks: Audit and review the final output of processed payrolls to ensure complete accuracy.
2. Reporting, Compliance & Documentation
- Reporting: Prepare and submit all payroll duties, reports, pay slips, and final reports.
- Year-End: Lead year-end audit and tax preparation and reporting.
- Pre-Authorization: Prepare all necessary pre-authorization documents for review by the Senior Specialist and submission to the Payroll Head.
- Procedures: Create new procedures and assist in the testing and evaluation of new operating procedures and payroll systems.
3. Stakeholder Collaboration & Inquiry Resolution
- Internal Support: Work closely with the accounting team on tasks like variance queries, balance sheet reconciliation, and other necessary queries.
- Inquiry Management: Act as the first point of contact to identify and resolve payroll inquiries from internal and external customers, escalating issues to the Tower Head and Payroll Head as needed.
4. Operational & Project Support
- Absence Tracking: Track and review absence records (holidays, sickness, etc.) and calculate related payments (overtime, sickness, holidays) and prepare/review accruals.
- Project Assistance: Assist with various ad-hoc projects directed by the leadership team (e.g., setting up a new location/business unit, procedural changes, research of historical data).
- Team Support: Provide backup for other payroll team members when required.
Required Qualifications
- Education: A Diploma or bachelors degree (preferably in accounting or equivalent).
In short, this is a hands-on, detail-oriented role requiring a strong background in payroll, accounting fundamentals, and experience with compliance and data analysis in a shared service environment.
