Job Title: Purchase Executive Commercial Leasing Sector

Department: Procurement / Commercial

Reports to: Purchase Manager / Head Procurement & Commercial

Job Summary:

The Purchase Executive will be responsible for end-to-end procurement activities related to commercial leasing operations, including sourcing, vendor management, rate negotiations, contract finalization, and ensuring timely delivery of materials and services. The ideal candidate should have prior experience in the commercial real estate or property management industry, with a strong understanding of materials and services used in leasing, fit-out works, facilities management, and project procurement.

Key Responsibilities:

  • Procurement Management:

  • Handle the procurement of materials, equipment, and services required for commercial projects and leased properties.

  • Raise purchase requisitions (PR) and convert approved PRs into purchase orders (PO) in coordination with project and finance teams.

  • Vendor Development & Management:

  • Identify, evaluate, and onboard new vendors/subcontractors suitable for leasing, maintenance, and fit-out requirements.

  • Maintain an approved vendor database and ensure vendor compliance with company policies and legal requirements.

  • Negotiation & Cost Optimization:

  • Conduct price analysis and negotiations to ensure cost-effective purchasing without compromising quality or timelines.

  • Benchmark vendor pricing and service quality regularly against market trends.

  • Contract & Documentation:

  • Coordinate with legal and commercial teams for contract preparation, renewals, and compliance documentation.

  • Ensure all POs, work orders, and contracts are accurately documented and filed.

  • Coordination & Communication:

  • Liaise with leasing, projects, facility management, and finance departments to align procurement with operational and leasing needs.

  • Monitor material delivery schedules and ensure timely availability at project sites or leased premises.

  • Budgeting & Reporting:

  • Assist in procurement budgeting and cost tracking for ongoing and upcoming commercial projects.

  • Prepare periodic MIS reports for management on purchase status, cost savings, and vendor performance.

Required Qualifications & Skills:

  • Education: Bachelors degree in Commerce, Supply Chain, Business Administration, or related field. MBA or diploma in Materials Management preferred.
  • Experience: 36 years of experience in procurement within the Commercial Real Estate / Property Leasing / Facilities Management sector.
  • Industry Knowledge: Familiarity with purchasing materials and services related to commercial interiors, MEP works, facility operations, and lease management.

  • Skills:

  • Strong negotiation and analytical skills

  • Excellent vendor and stakeholder management
  • Knowledge of GST, taxation, and compliance in procurement
  • Strong communication and documentation skills
