Key Responsibilities:
Administrative and Office Support:
- Maintain and update company databases and tracking systems like inventory and daily office expenses to ensure accuracy.
- Manage daily administrative tasks including data entry, filing, copying and organizing important documents and office records .
- Coordinate internal communications and distribute information to relevant staff and departments.
- Manage office supplies and inventory; monitor stock levels, process purchase orders, and coordinate with suppliers to ensure timely delivery.
2. Financial:
- Assist with basic financial tasks such as processing invoices, tracking expenses, and reconciling departmental budgets under supervision.
- Coordinate and maintain professional relationships with vendors and service providers, assisting with contract documentation and scheduling.
3. People Management (as needed):
- Assist with recruitment and onboarding processes for new employees, including preparing necessary paperwork.
- Field and promptly address basic operational questions and requests from staff and internal stakeholders.
Requirements:
- High school diploma or or Bachelor's Degree
- 0 to 1+ years of experience in an administrative, clerical or operational support role is desirable.
Core Skills:
- Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Meticulous and accurate in record-keeping, data entry, and documentation.
- Communication Skills: Excellent written and verbal communication abilities to interact professionally with internal teams, management, and external vendors.
- Strong knowledge of Google Workspace (Docs, Sheets, Slides)
- Proactive approach to identifying and resolving routine operational issues.
- Ability to work independently and collaboratively as a member of a team.
