The System Executive is responsible for managing day-to-day system operations, ensuring the smooth functioning of internal software, maintaining data accuracy, and supporting teams with technical and analytical requirements. The role requires strong technical understanding, high proficiency in Excel, and exceptional data-handling abilities.

Key Roles and Responsibilities

1. System Management & Maintenance

  • Oversee daily operations of internal systems to ensure uninterrupted workflow.
  • Monitor system performance and coordinate with technical teams for updates or improvements.
  • Identify, troubleshoot, and resolve system issues or user-reported errors.
  • Ensure smooth integration between different internal applications or tools.

2. Data Handling & Data Integrity

  • Maintain accurate, clean, and structured data across systems.
  • Regularly audit system data to eliminate duplicates, inconsistencies, and errors.
  • Implement and enforce data-handling best practices across departments.
  • Monitor user activity to ensure correct data usage and compliance with policies.

3. Excel Expertise & Reporting

  • Use advanced Excel functions (Pivot Tables, Power Query, VLOOKUP/XLOOKUP, Index-Match, Macros, etc.) to prepare accurate reports.
  • Create dashboards and analytical models to support management decision-making.
  • Analyze data trends related to performance, operations, or system usage.
  • Present data insights in a clear, structured, and actionable format.

4. User Support & Training

  • Act as the first point of contact for system-related support.
  • Assist team members with technical queries or system navigation issues.
  • Train new employees on system usage, data entry standards, and reporting formats.
  • Prepare user guides, manuals, and process documentation.

5. Process Improvement

  • Review existing workflows and suggest system-based improvements.
  • Identify bottlenecks and propose solutions for operational efficiency.
  • Collaborate with developers or IT teams to implement enhancements.

6. Compliance & Security

  • Ensure data security and follow institutional guidelines for data protection.
  • Monitor system access levels and prevent unauthorized usage.
  • Maintain confidentiality of sensitive information.

Required Skills

  • Mastery in Microsoft Excel (advanced formulas, dashboards, automation, data cleaning, macros).
  • Strong data-handling and data-analysis abilities.
  • System management and troubleshooting skills.
  • Basic understanding of software workflows and integrations.
  • Good communication and documentation skills.
  • Ability to work under structured processes and deadlines.
