
Project Management Officer

Role Overview:
We are looking for a meticulous and assertive PMO Executive to ensure standardized, efficient, and transparent project operations across the organization. This role demands a hands-on leader who can monitor project health, monitor the bench, enforce documentation standards, and drive project compliance across all delivery units.
Key Responsibilities: Weekly Responsibilities
· Ensure weekly status reports are sent out for all managed projects to internal stakeholders and clients.
· Maintain a clear understanding and documentation of the project scope for each project in the portfolio.
· Track delays across all projects and raise early warning signals.
· Maintain a log of all Change Requests (CRs) and scope deviations to flag risks and cost/time impacts.
· Conduct 1:1 weekly in sync with all Project Managers to review progress, risks, escalations, and support needed.
· Monitor the bench pool weekly and work with HR/Delivery to allocate idle resources effectively.
Regular/Ongoing Responsibilities
· Ensure no resource is idle on the floor without a justified plan or approval; align idle resources to shadow/support projects.
· Audit Zoho Projects platform to ensure that all projects are regularly updated with status, timelines, and resource allocations. Share a weekly non-compliance report with a list of under-managed or outdated projects.
· Validate that every project has complete and standard documentation, including: BRD, QA Checklist, KPI Definition documents, and any other required delivery/process artifacts.
Governance, Compliance, and Communication
· Monitor adherence to delivery standards, SOPs, and compliance frameworks across projects.
· Act as a point of escalation for operational gaps in project execution.
· Provide reports and insights to leadership for strategic visibility and decision-making.
· Support the evolution of PMO frameworks, tools, and automation practices.
Qualifications & Experience:
· 4+ years of experience in a PMO, delivery operations, or project coordinator role.
· Proficiency with Zoho Projects (or similar PM tools) and MS Office suite (Excel, PPT, Word).
· Strong working knowledge of project lifecycle documentation standards.
· Proven ability to multitask and work across diverse stakeholders.
· Detail-oriented with a strong focus on execution discipline.
Preferred Skills:
· Familiarity with Agile and Waterfall methodologies.
· Experience managing documentation audits and process enforcement.
· Excellent interpersonal and communication skills.
· Ability to drive accountability in a cross-functional environment.
