Executive Assistant

The Executive Assistant provides high-level administrative support to the executive team, ensuring smooth day-to-day operations. The EA manages schedules, coordinates meetings, handles confidential information, prepares reports, and acts as the primary point of contact between executives and internal/external stakeholders. Key Responsibilities:
1. Administrative Support
- Manage and maintain the executive's calendar, appointments, and travel arrangements.
- Schedule and coordinate internal and external meetings, conferences, and events.
- Prepare correspondence, reports, presentations, and other documents.
- Maintain accurate and organized filing systems (digital and physical).
2. Communication & Coordination
- Serve as a liaison between the executive and staff, clients, and partners.
- Screen and prioritize incoming emails, calls, and requests.
- Draft, review, and proofread communications on behalf of the executive.
3. Project Management
- Track deadlines, deliverables, and key initiatives.
- Support executive projects by gathering data, conducting research, and preparing summaries.
- Follow up with teams to ensure timely completion of tasks.
4. Confidentiality & Professionalism
- Handle sensitive information with discretion and maintain confidentiality at all times.
- Demonstrate professionalism and judgment in all interactions.
5. Office & Operations Support
- Coordinate logistics for executive offsites, team meetings, and client visits.
- Manage expense reports, reimbursements, and budget tracking.
- Support HR, finance, or operations teams as needed.
Qualifications & Skills:
- Bachelor's degree preferred (Business Administration or related field).
- 2–5 years of experience as an Executive Assistant or in a similar role.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools .
- Ability to work independently, exercise sound judgment, and adapt to changing priorities.
- High level of integrity, discretion, and professionalism.
