KEY RESPONSIBILITIES

  • Budgeting & Forecasting
  • Assist in preparing annual budgets for Projects and Facility.

  • Review, track and monitor variances in budget vs actual and take corrective steps.

  • Project Execution

  • Align with Project execution team and ensure timely delivery of items required.
  • Oversee the team creating Purchase orders and ensure issuance on timelines.

  • Ensure Advance payments are processed in line with agreed contract delivery timelines.

  • Vendor Acquisition, Development & Payment

  • Expand the vendors network year on year and scout and onboard newer agencies.
  • Manage rate contracts and negotiate for the cost-effective options for purchases required for projects.
  • Ensure that the Vendor Registration Process is adhered to and all the relevant documents are in the system for onboarding vendors.
  • Ensure that payments against invoices are released on time in coordination with the Finance team

  • Negotiate rate contracts with transportation vendors.

  • MIS & Reporting

  • Prepare and share weekly trackers with regards to open Purchase Orders, payments and ensure that timelines for turnaround are being met
  • Prepare reports on Capex, Opex and share with management in review meetings.

  • Present expansion plans monthly & quarterly for new stores opening up and renewal of existing stores.

  • Process Efficiency and Automation

  • Timely renewal of all the agreements on the parameters of timelines, costing and quality
  • Rate Standardization for bulk display and general contracts.
  • Ensure three vendor policy is being followed for warehouses.
  • Ensuring all the relevant documents are accessible and available like rent receipts, invoices & Purchase Orders.
  • Create and ensure adherence to all the SOPs related to purchase.
  • People Management
  • Train, develop and retain team members. Manage performance and expectations.
