Key Responsibilities Administrative Support
- Manage calendars, appointments, schedules, and travel arrangements.
- Organize meetings, prepare agendas, and take minutes when required.
- Handle email management, screening, and correspondence drafting.
- Prepare reports, presentations, and documents as needed.
- Maintain confidential files and records.
Personal & Lifestyle Support
- Assist with personal errands and household coordination.
- Reservations, event planning, and personal scheduling.
- Support with family-related logistics if relevant.
- Manage personal projects as assigned.
Communication & Coordination
- Act as a primary point of contact between the employer and internal/external stakeholders.
- Maintain professional communication across all channels (email, phone, messaging apps).
- Coordinate with vendors, service providers, and partners.
Operational Support
- Track expenses, budgets, and reimbursements.
- Manage to-do lists and ensure deadlines are met.
- Conduct research and provide summaries or recommendations.
- Solve problems independently and anticipate upcoming needs.
- If required can travel for business with the director for 10-15 days outstation.
Qualifications
- Proven experience as a Personal Assistant or Executive Assistant (1–3+ years preferred).
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication.
- Proficiency with productivity tools (Google Workspace, Microsoft Office, scheduling apps).
- Ability to maintain confidentiality and exercise discretion.
- Strong professionalism and ability to work in fast-paced environments.
