Key Result Areas (KRA)

1. Tender Identification & Tracking

  • Regularly monitor government tender portals (e.g., Gem, CPPP, E-tender sites) for relevant opportunities.

  • Maintain a daily/weekly tender tracker with submission deadlines and requirements.

  • Tender Documentation & Preparation

  • Collect, verify, and organize all required technical and commercial documents.

  • Prepare bid documents as per tender specifications and formats.

  • Ensure timely approvals and signatures from authorized persons.

  • Tender Submission & Compliance

  • Upload or submit tenders (online/offline) before the due date.

  • Ensure 100% compliance with tender terms, conditions, and formats.

  • Maintain records of submitted tenders and acknowledgments.

  • Coordination & Communication

  • Coordinate with internal departments (Sales, Accounts, Technical, Legal, etc.) for inputs and approvals.

  • Liaise with government departments, clients, and vendors for clarifications or tender-related communication.

  • Follow up on bid status, pre-bid meetings, and tender clarifications.

  • Documentation Management

  • Maintain updated vendor registration documents (GST, PAN, MSME, etc.).

  • Keep digital and physical records of all submitted tenders and correspondence.

  • Costing & Bid Evaluation Support

  • Assist in preparing cost sheets and commercial offers in coordination with the finance and sales teams.

  • Support management in decision-making by summarizing bid requirements and competition analysis.

  • Result Tracking & Reporting

  • Track tender outcomes (won/lost) and analyze reasons for results.

  • Prepare monthly reports on tender performance, success rate, and submission status.

  • Compliance & Policy Adherence

  • Ensure adherence to company policies and government tender regulations.

  • Keep updated on changes in tender procedures, documentation, and eligibility criteria.

  • Process Improvement

  • Suggest improvements in tendering processes for better efficiency and success rate.

  • Develop templates, checklists, and SOPs for faster and error-free submissions.

  • Vendor Registration & Empanelment

  • Handle company registration and empanelment with government departments, PSUs, and agencies.

  • Maintain updated status and renewal calendar for all registrations.
