Job Description 1. Serve as the first point of contact for the building always covering the front reception desk 2. Greet our members/visitors and check in new visitors through a QR code 3. Schedule conference room bookings on our calendar and send confirmation emails and invoices to be paid before rooms can be utilized 4. Send out invoices for member accounts 5. Onboard members and oversee all accounts 6. Take incoming calls on our front desk telephone 7. Prepare and distribute promotional brochures to guests/potential members 8. Work on fun community initiatives designed to develop connections between members including member introductions event support email and print communications 9. Resolve member-related issues to ensure an organized and healthy community 10. Foster a collaborative environment among our members through events and personal introductions 11. Assist with set-up and breakdown of events 12. Assist with move-ins and move-outs prepare and distribute member welcome info 13. Handle daily mail and package handling/distribution for our members 14. Identify issues for escalation to the sales manager or owner and document accordingly 15. Maintain all front desk activities including greeting guests and members answering phones checking in members and monitoring the space 16. Log all community and virtual member check-ins into the POS system   17. Assist the community manager in planning and organizing events for members and non- members   18. Track walk-ins by maintaining records of prospective members and schedule tours for prospective members through the CRM 19. Call and email leads in the POS system to follow up with prospective members and sell the space 20. Resolve member-related issues including printer use phone connection and internet credentials 21. Identify and create opportunities to introduce members to each other 22. Prepare the area for events as needed including set-up breakdown and ordering of food and beverages 23. Actively work on new sales opportunities through networking social media and generated leads 24. Handle customer escalations invoicing payment follow-ups and preparing agreements 25. Communicate and collaborate with potential clients and understand their needs and concerns 26. Negotiate or close deals and handle complaints or concerns 27. Gather feedback from customers or prospects 28. Conduct client onboarding 29. Perform other assigned duties
