1. Domestic & International Travel Coordination
- Handle end-to-end travel bookings for India-based employees (air, rail, hotel, visa assistance).
- Coordinate with US counterparts for travel arrangements of US-based employees visiting India (and vice versa).
- Manage international bookings, ensuring visa compliance, cost optimization, and itinerary planning.
2. Employee Cab Facility Management India (24/7 Operations)
- Plan, implement, and manage night shift cab facility for India employees, especially in metro cities.
- Coordinate with empaneled cab vendors for timely and safe pick-ups and drop-offs.
- Maintain route plans and cab rosters for night shifts considering cost-effectiveness and employee safety.
- Monitor cab GPS, adherence to travel schedules, and real-time tracking during odd hours.
- Ensure compliance with employee safety norms, including female employee safety protocols.
3. Vendor & Cost Management
- Negotiate contracts and service SLAs with travel and cab vendors.
- Monitor invoicing, billing accuracy, and TAT adherence.
- Track budgets and submit regular cost reports to management.
4. Policy Compliance & Documentation
- Ensure all travel activities adhere to company travel policy and statutory regulations.
- Maintain updated travel logs, cab usage logs, audit records, and MIS reports.
- Facilitate travel insurance, foreign exchange, and visa support documentation as per destination country requirements.
5. Emergency & Crisis Handling
- Serve as first point of contact for travel-related emergencies (delays, cancellations, medical issues).
- Provide round-the-clock support during critical business travel windows or shifts.
6. Stakeholder Communication & Coordination
- Work closely with HR, Admin, Security, and Finance teams for smooth coordination of employee travel and transport needs.
- Liaise with US-based admin or travel coordinators for alignment on cross-border travel requests.
