Role Overview:
We are seeking a dynamic and detail-oriented Event Manager to lead the planning, coordination, and execution of offline learner engagement events across cities. The ideal candidate will possess strong negotiation skills, a passion for creating memorable learning experiences, and the ability to manage multiple stakeholders seamlessly.
The ideal candidate brings strong execution capabilities, vendor management expertise, and a deep passion for crafting memorable, community-driven events.
Key Responsibilities:
Own end-to-end planning and execution of large-scale Convocation ceremonies, networking meetups, and city-based learner engagement events.
Identify and finalize venues, vendors, and production partners; lead all negotiations and ensure optimal pricing and service quality.
Collaborate with internal teams such as Marketing, Student Success, University Relations, Sales, and Finance to align event objectives and deliverables.
Develop and manage event timelines, budgets, run-of-shows, and logistics checklists to ensure smooth operations.
Lead on-ground execution with a hands-on approach - oversee setup, team briefings, registration flow, stage management, and audience
Ensure brand consistency and high-quality execution at every touchpoint, maintaining upGrad's reputation for learner-first experiences.
Capture event feedback, measure success metrics, and generate post-event reports for continuous improvement.
Stay updated on industry trends and explore new engagement formats to keep learner experiences fresh and exciting.
Requirements:
3-5 years of experience in event management, preferably in the education, edtech, or consumer-facing sector.
Proven ability to manage large-format, high-footfall events with end-to-end ownership.
Strong skills in vendor management, budgeting, negotiation, and logistics.
Excellent interpersonal, verbal, and written communication skills.
Willingness to travel extensively across cities for event execution.
Ability to think on your feet, solve problems quickly, and remain calm under pressure.
Desired Skills:
Project management and multitasking under tight timelines.
Experience working with diverse internal and external stakeholders.
High attention to detail with a learner-centric mindset.
Familiarity with production, AV, hospitality, and stage operations is a plus.
Preferred Qualifications:
Bachelor's degree in Event Management, Marketing, Hospitality, Communications, or related fields.
Prior experience in managing Convocations or graduation ceremonies is highly desirable.
Exposure to community engagement or alumni initiatives is a bonus.
