Front Office Executive

We are seeking a smart and personable Lady Front Office Executive to serve as the welcoming face of our Corporate Office in B. B. D. Bag, Kolkata. The ideal candidate will project a warm and professional demeanour, ensuring that every visitor and caller enjoys exceptional service. This position demands excellent communication skills, strong organisational abilities, and the capacity to perform administrative tasks with discipline and discretion.
Key Responsibilities
- Reception Management: Greet and assist visitors and guests courteously and professionally, ensuring a positive first impression of the organisation.
- Handling Calls & Enquiries: Handle all incoming telephone calls efficiently, route them appropriately, and respond to general enquiries about the company.
- Visitor Coordination: Manage visitor logs, inform relevant employees of guest arrivals, and ensure guests are comfortable whilst waiting.
- Office Administration: Coordinate office activities, arrange meetings and conference rooms, manage post and courier services, organise appointments, and assist with logistical requirements for office events.
- Clerical Duties: Carry out routine clerical tasks such as filing, maintaining records, sending emails and faxes, and basic bookkeeping where necessary.
- Facility Upkeep: Supervise the general appearance of the reception and waiting areas; ensure office supplies are sufficiently stocked and organised.
- Security & Compliance: Maintain visitor records, uphold security protocols, and ensure telecommunication systems function smoothly.
- Reporting: Prepare and provide reports as required by management or sales colleagues.
Requirements
- Female candidate, well-presented, with excellent English communication skills.
- Minimum educational requirement: Bachelor's Degree.
- At least 3 years' relevant experience in a Front Office/Receptionist role.
- Computer literate (MS Office, Email, Internet) with the ability to quickly learn new software or tools.
- Not older than 34 years of age.
- Pleasant personality with strong interpersonal and organisational skills.
- Professional attitude and the ability to handle complaints with diplomacy.
