Job Description Operations Executive (Back-End Procurement & Vendor Management)

Company: Ramani Caterers

Location: Mumbai, Maharashtra

Reports To: Operations Manager / Management

Requirement Planning

  • Track upcoming catering orders and events to forecast material and labor requirements.
  • Prepare daily/weekly procurement plans for raw materials, provisions, and disposables.
  • Assess manpower needs (kitchen helpers, service staff, logistics) and coordinate accordingly.

Vendor Management

  • Liaise with approved vendors for timely supply of goods and services.
  • Place purchase orders based on forecasted requirements.
  • Ensure adherence to quality standards and on-time deliveries.
  • Negotiate pricing and maintain long-term supplier relationships.

Inventory & Cost Control

  • Coordinate with stores to review current stock before placing orders.
  • Optimize procurement to minimize wastage and avoid overstocking.
  • Monitor purchase costs and drive cost efficiencies.

Coordination & Documentation

  • Share procurement and resource plans with kitchen & operations teams.
  • Maintain accurate records of purchases, vendor invoices, and payments.
  • Provide regular procurement and vendor performance reports to management.

Skills & Qualifications

  • Graduate / Diploma in Hospitality, Supply Chain, or related field (preferred).
  • 1-3 years' experience in catering, hospitality procurement, or vendor management.
  • Strong organizational and planning abilities.
  • Knowledge of raw materials used in large-scale catering (vegetables, dairy, groceries, disposables).
  • Good negotiation and vendor relationship management skills.
  • Proficiency in MS Excel / Google Sheets for planning and documentation.
  • Ability to multitask and work under tight timelines.
  • Strong communication skills in English, Hindi, and preferably Marathi.
