About the Role
We are looking for a proactive and detail-oriented Executive Assistant / Office Assistant to provide administrative and coordination support to the Director of The Search House at our Ulsoor Road office. This role is ideal for someone who is organized, dependable, and eager to contribute to the smooth functioning of leadership activities in a fast-paced recruitment consulting environment.
Key Responsibilities
Administrative & Office Support
- Manage the Directors daily schedule, calendar, and appointments.
- Handle correspondence (emails, letters, phone calls) on behalf of the Director.
- Maintain records, files, and office supplies.
Recruitment Support
- Assist the Director in reviewing candidate profiles and preparing shortlists.
- Coordinate with internal recruiters to track candidate pipelines.
- Update and maintain data in CRM/recruitment systems as required.
- Draft, proofread, and format documents, presentations, and reports.
Client & Candidate Interaction.
- Follow up with clients/candidates as guided by the Director.
- Support in preparing proposals, agreements, and presentations.
- Ensure timely communication and smooth coordination between the Director and external stakeholders.
Confidential & Strategic Tasks.
- Handle sensitive and confidential information with discretion.
- Provide research support on clients, industries, or job roles.
- Assist in preparing briefing notes and insights for business meetings.
Candidate Profile.
- Graduate in any discipline; additional diploma/certification in office administration, secretarial practices, or HR is a plus.
- Experience as an Executive Assistant, Office Assistant, or in administrative support roles (freshers with strong organizational skills may also be considered).
- Strong communication skills (written & spoken) in English; Hindi/regional languages an advantage.
- Excellent organizational and time-management skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with CRM/ATS is an added advantage.
- High level of professionalism, confidentiality, and attention to detail.
