Role & responsibilities

The Food & Beverage Store Keeper is responsible for maintaining the smooth functioning of the store by ensuring proper purchase, receipt, storage, issuance, and documentation of all food and beverage items. The role requires strict adherence to hygiene, temperature control, quantity verification, and company procedures to support uninterrupted food production and service.

Key Responsibilities

  1. Procurement & Ordering

Raise Purchase Orders (POs) based on requisitions, consumption patterns, and par stock levels.

Coordinate with vendors/suppliers for timely supply of food and beverage items.

Ensure all purchase orders are approved as per company policy before placing.

  1. Receiving of Goods

Verify incoming deliveries against purchase orders and invoices.

Check quality, quantity, expiry dates, and packaging integrity of all received goods.

Record temperatures of frozen, chilled, and fresh items at the time of receipt.

Reject and document any items not meeting quality or safety standards.

  1. Documentation & System Entries

Prepare and update Goods Received Notes (GRNs) for all accepted items.

Maintain accurate records in store management software or manual registers.

File all invoices, POs, GRNs, and supplier documents in proper sequence for audit purposes.

  1. Storage & Inventory Management

Store items as per FIFO (First In, First Out) and FEFO (First Expiry, First Out) principles.

Ensure frozen, chilled, and dry goods are kept at prescribed temperature zones and recorded daily.

Maintain stock rotation and labeling of all goods.

Keep the storage area clean, pest-free, and compliant with hygiene standards.

  1. Issuance of Goods

Issue materials against authorized store requisition slips only.

Ensure correct quantity and quality while issuing to kitchen, cafeteria, or service departments.

Record each issue in stock registers/system for consumption tracking.

  1. Stock Control & Reporting

Conduct daily stock updates and reconcile with physical stock.

Prepare fortnightly stock reports highlighting consumption, variance, and slow-moving/non-moving items.

Report shortages, damages, or excess to the F&B Manager/Accounts for corrective action.

  1. Process Compliance & Formats

Follow all prescribed formats and SOPs for ordering, receiving, storage, and issuance.

Ensure audit readiness by maintaining updated records at all times.

Adhere to SOP, food safety, and hygiene guidelines during all operations.

  1. Coordination & Communication

Liaise with chefs, production, and service teams regarding stock needs and delivery schedules.

Communicate effectively with suppliers for timely resolution of shortages, replacements, or credit notes.

Assist in annual/quarterly stock audits and cooperate with finance and audit teams.

Additional Duties

Report any equipment breakdowns (cold room, freezer, racks, weighing machine) immediately.

Participate in waste control and cost reduction initiatives.

Train helpers/assistants in proper receiving, storing, and issuing practices

Must Have Hospital or Hotel Experinced with 5 Star property .
