Job Summary:

The Junior Executive – Order Processing will be responsible for coordinating with vendors, internal teams, and logistics partners to ensure smooth and timely order execution. The role involves tracking materials, managing rejections and replacements, verifying vendor invoices, and monitoring dispatches to maintain efficient supply chain operations.

Key Responsibilities:

1. Material Follow-up

  • Maintain a list of all pending purchase orders with expected delivery dates.
  • Follow up with vendors for material dispatch updates and delays.
  • Escalate issues if shipments are not dispatched as per the agreed timeline.
  • Confirm shipment tracking details and estimated time of arrival (ETA).

2. Rejection & Replacement Coordination

  • Maintain detailed records of rejected materials (date, reason, quantity).
  • Coordinate with the internal quality team for rejection feedback and approvals.
  • Follow up with vendors for replacements, returns, or credit note adjustments.
  • Ensure all documentation is updated, including emails, rejection reports, and vendor responses.

3. Vendor Bill Collection & Verification

  • Set and communicate deadlines for vendors to submit their invoices.
  • Cross-check invoices with purchase orders and delivery receipts for accuracy.
  • Maintain a tracking sheet for received and pending invoices.
  • Follow up with vendors for missing or incorrect bills.

4. Logistics & Courier Coordination

  • Schedule Porter/courier pickups based on dispatch priorities.
  • Track all courier and Porter shipments to ensure timely delivery.
  • Maintain communication with logistics partners for updates and issue resolution.

5. BrandStore & Warehouse Coordination

  • Track shipments from vendors to the Vasai Warehouse.
  • Coordinate with the warehouse/store team for inventory checks and confirmations.
  • Report delays or discrepancies to the concerned department promptly.

Key Skills & Competencies:

  • Strong coordination and follow-up skills
  • Good communication and documentation abilities
  • Proficiency in MS Excel and ERP systems (preferred)
  • Detail-oriented and process-driven approach
  • Ability to multitask and work under deadlines

Education:

  • Graduate in Commerce, Business Administration, Supply Chain, or related field
