About the Role
We are hiring a mid-level Virtual Executive Assistant to support multiple members of our leadership team. This role requires sharp organization, fast responsiveness, and the ability to manage competing priorities in a fully remote environment. You will ensure smooth day-to-day operations, coordinate meetings across time zones, and support administrative and cross-functional activities.
Primary ResponsibilitiesScheduling & Meeting Coordination
- Manage complex calendars for multiple leaders.
- Coordinate internal and external meetings across time zones.
- Prepare meeting agendas and gather materials in advance.
- Support meeting execution, take notes, and track action items.
Travel, Events & Offsites
- Coordinate domestic travel, accommodations and logistics.
- Assist with planning and supporting company events and offsites.
- Collaborate with internal teams to ensure seamless onsite operations.
Administrative & Operational Support
- Process invoices and payments using Ramp and
- Track, process and organize receipts and AP documentation.
- Maintain digital filing systems and shared resources.
- Support cross-functional workstreams and maintain internal tracking tools.
- Assist with vendor coordination and general administrative tasks.
People & HR Coordination
- Assist HR with interview scheduling and candidate coordination.
- Manage logistics for onboarding, internal meetings and team activities.
QualificationsRequired
- 2 to 5 years of experience as an Executive Assistant, Administrative Assistant or similar role
- Experience supporting leadership in a fast-moving environment.
- Proficiency in Google Workspace, Zoom and Slack.
- Excellent written and verbal communication skills.
- Strong organizational ability and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- High level of professionalism, discretion and judgment.
Preferred
- Experience supporting onsite event planning or offsites.
- Familiarity with Ramp, or similar AP tools.
- Experience in healthcare or a high-growth startup environment.
