Job Description Ageing Stocks Executive

Position Title: Ageing Stocks Executive

Department: Sales Coordination / Operations (Cross-functional role)

Reports To: General Manager Operations / Sales Head

Role Purpose

To monitor, coordinate, and resolve all matters related to ageing stocks at super stockists, distributors, warehouses, and factory stores (RM, PM, and FG), ensuring minimum expiry losses, proper rotation, and timely disposal as per company policy.

Key Responsibilities

1.Stock Monitoring & Reporting

Track ageing of Raw Materials (RM), Packing Materials (PM), and Finished Goods (FG) at factory level.

Monitor ageing stocks (by batch, lot, MRP, expiry date) across super stockists, distributors, and warehouses.

Generate weekly/monthly ageing stock dashboards & reports with analysis and action points.

Flag items reaching critical ageing stage and escalate for corrective action.

2.Coordination & Execution

Factory Stores: Coordinate with RM/PM/FG storekeepers for ageing alerts, FIFO/FEFO adherence, and revalidation/rejection of expired lots.

Market: Liaise with sales teams for push schemes of near-expiry FG.

Coordinate with distributors/super stockists for returns, replacements, or liquidation schemes.

Work with logistics/operations for movement and safe disposal of expired/near-expiry goods.

3.Compliance & Documentation

Maintain proper records of expired stock disposals, returns, and write-offs (RM, PM, FG, and Market).

Coordinate with Accounts for debit/credit notes and write-off entries.

Ensure all handling complies with FSSAI guidelines, statutory norms, and company SOPs.

4.Vendor/Agency Coordination

Work with expiry-handling agencies for market buy-back and destruction.

Verify and reconcile agency reports vs. actuals.

For RM/PM vendors, coordinate for replacement or revalidation support where applicable.

5.Process Improvement

Suggest strategies to reduce ageing build-up at factory (RM/PM/FG) and at market (distributors/stockists).

Recommend promotions, rotation policies, or rework options for at-risk stock.

Assist in designing early-warning systems through ERP/Power BI dashboards for proactive expiry management.

Key Skills & Competencies

Strong knowledge of inventory management & stock rotation (FIFO/FEFO) across RM, PM, and FG.

Familiarity with food industry shelf-life management (raw material storage norms, packaging material expiry, finished goods shelf life).

Coordination & communication skills across Sales, QA, Stores, Accounts, Operations.

Analytical skills to interpret data and suggest actions.

ERP (Microsoft Dynamics, Zoho, SAP) & MS Excel/Power BI proficiency.

Qualification & Experience

Graduate in Commerce / Supply Chain / Logistics / Business Administration.

24 years of experience in inventory/expiry management in FMCG/food industry.

Prior exposure to expiry stock coordination at both factory & distribution levels is desirable.

Performance Metrics (KPIs)

% Reduction in expired RM, PM, and FG stock vs. baseline.

Timeliness & accuracy of factory + market ageing reports.

% Compliance with expiry SOPs (RM, PM, FG, distributors).

Recovery value from returns/expiry handling.

Coordination effectiveness (feedback from Sales/Operations/Accounts/QA).
