Senior Resource Allocation Specialist

Duties & Responsibilities:

• Analyze and forecast resource needs for high-impact projects, identifying potential gaps or bottlenecks.
• Track resource utilization & Optimization through activity sheets and Azure DevOps to ensure resources are effectively deployed.
• Monitor and analyze PowerBI Resource Monitor work score reports to identify low/non-utilized technical staff.
• Collaborate with Resource Analysts to ensure timely and accurate updates to resource allocation data.
• Follow up with team members and stakeholders (HR, PMs, PSDs) to ensure all resource-related data is correctly entered and maintained.
• Guide Data and Reporting Specialists (DRS) to create useful status showing reports for management.
• Provide detailed reports and insights to the Resource Allocation Manager for strategic decision-making.
• Assist in reallocating resources to maintain high utilization rates and meet project needs.
• Analyze project plans coming from project managers in terms of resource needs.
• Ask guidance from checkers (other PMs or PSDs) to ensure resource needs are sufficient for the project/CR. Check similar tasks in other projects and make sure resource requests are correct.
• Connecting with Sales Team to identify the probability and maintain incoming project pipeline
• Plan certification and training goals with input from the appropriate parties and oversees the bench time workflow of project staff.

Skills & Competencies

• Proficient in analyzing large datasets to identify trends, gaps, and areas for improvement.
• Ability to generate actionable insights from data to inform resource allocation strategies.
• Expertise in using tools such as Microsoft Project, Azure DevOps, Jira for resource tracking and project alignment.
• Proficiency in advanced Excel functions (pivot tables, VLOOKUP, etc.) for data manipulation and reporting.
• Experience with resource allocation software or platforms
• Familiarity with timesheet management systems and performance monitoring tools.
• Strong skills in using tools like Power BI or similar for creating dashboards and visual reports.
• Ability to present complex data in a clear, concise, and visually appealing manner.
• Ability to align resource allocation decisions with organizational goals.
• Proactive in identifying potential risks or bottlenecks and implementing solutions.
• Skilled in diagnosing resource-related issues and developing practical solutions.
• Ability to adapt resource plans quickly in response to project changes.
• Excellent communication skills for working with cross-functional teams (PSDs, PMs, Technical Leads).
• Ability to explain data insights and resource strategies to both technical and non-technical stakeholders.
• Ensures accuracy in data entry, tracking, and reporting.
• Meticulous in reviewing reports to avoid resource allocation errors.
• Capable of providing guidance and support to Resource Analysts and Coordinators.
• Encourages best practices in resource planning and data management.
• Takes ownership of resource allocation outcomes and ensures tasks are completed with precision.
• Seeks opportunities to improve resource allocation processes and enhance efficiency.
• Stays updated on industry best practices and resource management tools.

Experience & Qualifications

• Educational Background: Bachelor's degree in business, project management, computer science or a related field.
• Experience: 5+ years in resource allocation, project management, or a similar role with a focus on data-driven decision-making.
• Certifications: PMP (Project Management Professional), PMI-RMP (Risk Management Professional), or similar resource management certifications.
