Personal Assistant to Managing Director- Female

Qualification: MBA/B. Tech

Experience: 4-5 Years

Job Description:

We are looking a Female personal assistant to a managing director (MD) who supports the MD by managing their schedule, handling correspondence and communication, and providing administrative support to ensure efficient operations. Key responsibilities include calendar management, travel coordination, preparing documents and reports, and acting as a gatekeeper and liaison with other staff and stakeholders.

Key responsibilities

  • Schedule and calendar management: Organize and manage the MD's calendar, schedule meetings and appointments, and handle all related logistics.
  • Communication and correspondence: Manage emails, phone calls, and general correspondence, acting as a primary point of contact.
  • Travel coordination: Arrange travel, including booking flights, accommodations, and creating itineraries.
  • Document and report preparation: Prepare, organize, and format documents, presentations, and reports as needed.
  • Meeting support: Prepare agendas, take minutes, and ensure follow-up on action items from meetings.
  • Administrative support: Handle various other administrative tasks such as filing, ordering supplies, and conducting research.
  • Confidentiality: Maintain discretion and professionalism when handling sensitive and confidential information.

  • Organizational and time management skills: Must be able to prioritize tasks effectively and manage a demanding workload.
  • Communication skills: Excellent verbal and written communication skills are essential for dealing with various stakeholders.
  • Proactive and problem-solving: A proactive approach to anticipating needs and solving problems independently is crucial.
  • Technical proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software is required.
  • Professionalism and discretion: A high level of professionalism and the ability to maintain confidentiality are paramount.
