  1. Shipment and Operations Monitoring

  2. Track containers and operations status regularly and update operational tracking sheets and shipment dashboards twice daily.

  3. Coordinate end-to-end logistics processes including freight booking, customs documentation, and last-mile delivery.

  4. Escalate delays with actionable recommendations.

  5. Cross-Functional and Vendor Coordination

  6. Engage effectively with Sales, Accounting, Warehouse, Documentation, and external partners such as freight forwarders and 3PLs.

  7. Ensure alignment across teams for timely execution of logistics activities.

  8. Support compliance with regulatory and company standards.

  9. Participate in regular operational review meetings.

  10. Provide performance insights, identify gaps, and recommend process enhancements.

  11. Perform other tasks as may be assigned by the immediate superior.

  12. Record Maintenance

  13. Maintain organized financial records and produce reports and statements as needed, ensuring proper documentation of all transactions.

  14. Prepare books up to the trial balance stage, ensuring that all financial records are accurately entered and adjusted.
  15. Investigate and resolve any discrepancies between bank records and accounting entries.
  16. Accurately record and update all financial transactions in the monitoring system.

  17. Work on historical financial data for the past 3 years, ensuring that all records are accurately reconstructed and updated from the scratch.

  18. Export Logistics & Documentation

  19. Prepare and verify export documents such as commercial invoices, packing lists, shipping bills, and certificates of origin.

  20. Liaise with freight forwarders, CHA (Customs House Agents), and shipping lines for booking containers and tracking shipments.
  21. Ensure compliance with phytosanitary, fumigation, and export quality standards.

6.Order Management & Customer Coordination

  • Track customer orders from confirmation to shipment and update buyers on delivery timelines.
  • Support coordination between production, quality, and logistics teams to meet export schedules.

  • Maintain customer order records and assist in preparing export MIS reports.

  • Standard Operating Procedures (SOPs)

  • Develop, document, and maintain Standard Operating Procedures (SOPs) for all functions and workflows under their responsibility.

  • Ensure SOPs are aligned with company policies, compliance requirements, and best practices.
  • Regularly review and update SOPs to reflect operational changes, improvements, or regulatory updates.
  • Ensure team members are trained on and consistently follow the SOPs.
  • Collaborate with the Internal Auditor and CEO for review and approval of SOPs.
