
Front Office Receptionist

- Visitor Management:Greet, welcome, and direct visitors, maintain visitor logs, and issue access cards.
- Communication:Answer and direct phone calls, screen calls, take messages, and provide information to callers and visitors.
- Scheduling:Manage calendars, schedule appointments for staff and clients, and book conference rooms.
- Mail & Deliveries:Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and coordinate with delivery services.
- Administrative Support:Perform data entry, filing, photocopying, and other general administrative tasks.
- Office Maintenance:Keep the reception area tidy and presentable, monitor office supplies, and place orders when necessary.
- Coordination:Liaise with other departments and staff to ensure smooth communication and support the overall office operations.
Required Skills & Qualifications
- Communication Skills:Strong verbal and written communication skills are essential.
- Organizational Skills:Excellent multitasking and organizational abilities to manage various tasks efficiently.
- Technical Proficiency:Competency with common office software, such as Microsoft Office Suite (Word, Excel, Outlook), and basic office equipment like printers and fax machines.
- Professionalism:A professional appearance, a welcoming and friendly attitude, and a commitment to confidentiality.
- Experience:Previous experience in a similar role as a receptionist or front desk representative is often preferred.
- Education:A high school diploma or equivalent is generally required, with certifications or a diploma in office management potentially being an advantage.
