Reception & Visitor Management Greet and welcome students, parents, visitors, and staff with courtesy and professionalism. Ensure visitors sign in, issue visitor badges, and guide them to the appropriate departments or personnel. Maintain a clean, organized, and professional front desk area at all times. 2. Telephone & Communication Handling Answer, screen, and route incoming calls promptly and accurately. Respond to queries from parents, students, and visitors in a polite and professional manner. Take messages and forward them to the concerned staff or department. Manage school email communication and respond to general inquiries. 3. Student & Parent Assistance Provide accurate information about school facilities, events, admission procedures, and schedules. Assist parents and students with forms, certificates, and other school-related requests. Handle appointment scheduling for parents to meet teachers, coordinators, or the principal. 4. Administrative Support Maintain student attendance records, admission forms, and other official documents. Support administrative staff in preparing circulars, notices, and newsletters. Assist with data entry, filing, and maintaining student and staff databases. Manage courier services, letters, and incoming/outgoing mail. 5. Event & Meeting Coordination Help organize school events, meetings, and parent-teacher conferences. Reserve meeting rooms and prepare necessary materials for school events. Ensure smooth communication between school management, teachers, and parents during events. 6. Safety & Security Responsibilities Monitor and control access to the school premises from the reception area. Ensure visitor protocols are followed strictly for student safety. Report any suspicious activity or safety concerns to the management immediately. Required Skills and Competencies Excellent Communication Skills: Ability to interact clearly and confidently with students, parents, and staff. Friendly & Approachable Personality: Create a welcoming atmosphere for visitors. Customer Service Orientation: Provide helpful assistance and resolve queries effectively. Organizational Skills: Manage multiple tasks, maintain records, and coordinate schedules efficiently. Technical Proficiency: Basic knowledge of MS Office, email systems, and school ERP software (if applicable). Problem-Solving Skills: Handle unexpected issues calmly and professionally. Attention to Detail: Ensure accuracy in maintaining records and documents.
