**About the Role**: As our Accounts and Administrative Executive, you'll be the backbone of our financial and administrative operations. This role requires a proactive individual who can manage accounting tasks, coordinate with external partners, oversee administrative functions, and administer HR-related activities. You'll play a crucial role in keeping our operations running smoothly while contributing to our clean energy mission.
**Key Responsibilities**:
**Accounts & Finance Management**:
- Process and manage all expense claims, approvals, and reimbursements
- Generate and track customer invoices, ensuring timely collections
- Handle vendor bill processing, purchase orders, and payment schedules
- Coordinate with external accounting agencies for bookkeeping and compliance
- Prepare financial reports and assist with statutory filings (GST, TDS, PF, ESIC)
- Maintain accurate financial records and documentation
- Track budgets and monitor financial transactions
**Administrative Operations**:
- Manage day-to-day office administration and operations
- Coordinate with vendors for office services and supplies
- Maintain company assets inventory and documentation
- Organize team meetings, events, and logistics
- Handle internal communication and cross-departmental coordination
- Manage staff attendance, leave records, and administrative documentation
- Oversee office maintenance and facility management
**Team Coordination**:
- Facilitate smooth communication between different teams
- Coordinate team activities and internal events
- Support project coordination and follow-ups
- Maintain team calendars and scheduling
- Handle team-related documentation and reports
**Administration of HR activities**
- Schedule and coordinate recruitment interviews
- Support employee onboarding and orientation processes
- Update and maintain employee records and files
- Assist with basic HR compliance and documentation
- Coordinate team-building activities and employee engagement initiatives
- Track employee attendance and leave management
**Required Qualifications**:
- Bachelor's or Master's degree in Commerce, Finance, Accounting, or related field
- 5 to 10 years of experience in accounts and administration roles
- Strong knowledge of accounting principles and financial management
- Experience working with external accounting firms/consultants
- Proficiency in Tally, Advanced MS Excel, and accounting software
- Excellent organizational and time management skills
- Strong communication skills and professional demeanor
- Ability to handle confidential information with discretion
- Experience in HR coordination is advantageous
