**Description**:
The role incumbent will be supporting the Head Procurement to manage timely procurement with effective coordination with internal and external teams.

**Purpose**:
To support the Head Procurement in a timely procurement while maintaining quality as per defined processes.

**Key Result Areas**:
**Principal Accountabilities**:

- ** Planning & Budgeting**:

- Maintain awareness of competitor activities in the procurement field to provide inputs to the procurement Head. Consolidate the procurement plans received from regions and provide inputs for budget creation. Track budgets, ensure compliance with regular reviews, and report progress accordingly.**:

- ** Timely Availability of Materials -** Prepare policies and SOPs for various procurement processes and submit them for review and finalization. Coordinate with the design team for timely sample approvals. Keep track of all received requirements, understand them, and interact with various suppliers to invite quotations. Prepare a comparative statement of quotations received from vendors, shortlist the vendors, and conduct negotiations. Seek approval for finalizing vendors. Prepare and issue purchase orders to selected vendors, confirming the delivery date and time. Share a copy of the PO with the projects team. Ensure regular follow-up with vendors to ensure timely procurement as per the schedule provided by the planning team. Maintain all documentation related to procurement processes. Coordinate with the site team for deliveries and resolve any discrepancies in received materials with the vendor. Track credit note receipts for all rejected materials. Coordinate with the finance team for timely vendor payments.
- ** Risk Management & Compliance -**Provide inputs for the risk and control matrix for the function. Ensure compliance to all necessary SOP for the function. Front-end all audits and ensure that all audits are managed by ensuring all required documents/data/queries are addressed timely.**:

- ** Agency/ Vendor/ Contractor Management -** Complete registration formalities of new vendors. Prepare a database of suppliers/vendors for all required material. Coordinate with site team for vendor evaluation report, prepare and submit an analysis of the same. Address all grievances from the vendors.**:

- ** Continuous Improvements -** Offer insights for process standardization initiatives aimed at streamlining procurement processes. Propose automation initiatives to enhance procurement functions and seek approval. Drive finalized automation interventions and report progress at regular intervals. Perform root cause analysis under the guidance of Head Procurement for all deviations. Provide inputs on corrective and preventive action taken to minimize negative outliers/target misses. Implement the corrective and preventive actions signed off by the Head Procurement.**:

4-15 Years
