We are seeking a friendly, organized, and professional Receptionist to join our team. The Receptionist will be the first point of contact for visitors, patients, and callers. This role involves managing front-office operations, handling phone inquiries, scheduling appointments, and providing excellent customer service to ensure smooth day-to-day operations of our office or practice.
**Key Responsibilities**:
- **Front Desk Management**:
- Greet visitors, patients, and callers with a welcoming and friendly demeanor.
- Direct visitors to the appropriate departments or individuals within the organization.
- Manage the front desk, ensuring it is clean, organized, and welcoming at all times.
- Answer incoming phone calls, screen and direct calls to the appropriate team members.
- Take accurate messages and ensure timely delivery to the relevant staff.
- **Appointment Scheduling**:
- Schedule, confirm, and reschedule appointments as required.
- Maintain an updated calendar of appointments, ensuring that the schedule is efficient and manageable.
- Notify patients or clients about appointment reminders, cancellations, or any changes to schedules.
- **Patient/Client Check-in & Registration**:
- Register new patients or clients by collecting necessary information, including personal, insurance, and medical details.
- Ensure patient information is correctly entered into the system and maintained confidentially.
- Assist patients with forms, insurance inquiries, and provide necessary documentation.
- **Administrative Support**:
- Perform light administrative tasks, such as filing, scanning, and data entry.
- Process incoming and outgoing mail, packages, and deliveries.
- Maintain office supplies inventory and reorder when necessary.
- Assist with billing, payments, and invoicing (if applicable).
- **Customer Service & Communication**:
- Provide exceptional customer service to visitors, patients, and staff, ensuring a positive experience.
- Address patient or client concerns and direct them to the appropriate personnel for resolution.
- Handle inquiries regarding office policies, services, and general information.
- **Maintain Office Environment**:
- Ensure the reception area is well-kept, organized, and stocked with brochures, forms, and other materials.
- Monitor the overall cleanliness of the front-office area and ensure a professional atmosphere is maintained.
- **Coordination & Collaboration**:
- Collaborate with other departments to ensure smooth office operations.
- Assist other team members as required, including providing support during busy periods.
**Qualifications**:
- High school diploma or equivalent; additional education or certifications in office management or administration preferred.
- Proven experience as a receptionist or in a customer-facing administrative role.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask.
- Basic computer skills and proficiency in office software (e.g., Microsoft Office, Google Suite, scheduling software).
- Professional phone etiquette and ability to handle inquiries efficiently.
- Ability to work independently and as part of a team.
- Strong attention to detail and ability to maintain confidentiality.
**Preferred Skills**:
- Experience working in a healthcare, hospitality, or customer service setting.
- Knowledge of office equipment (e.g., copiers, fax machines, scanners).
- Familiarity with appointment scheduling systems or databases.
- Bilingual abilities (if applicable to the region or practice).
**Working Conditions**:
- Full-time position.
- Regular office hours, 9:30am to 7pm its day shifts based on the organization’s needs.
- Physical demands may include sitting for long periods, handling light office supplies, and occasional lifting.
