**Responsibilities**:
1. Greeting Visitors: The Front Desk Officer is responsible for welcoming and greeting visitors, clients, and employees as they enter the premises. This includes providing a warm and friendly reception and directing them to the appropriate person or department.
2. Answering and Managing Calls: Handling incoming telephone calls, routing them to the relevant individuals, taking messages, and addressing general inquiries are key responsibilities of the Front Desk Officer.
3. Managing Inquiries: Responding to general inquiries from visitors and callers regarding the company's services, products, or other relevant information.
4. Scheduling Appointments: Coordinating and scheduling appointments for clients and visitors, ensuring efficient use of time for both parties.
5. Handling Mail and Packages: Receiving, sorting, and distributing incoming mail, packages, and deliveries to the appropriate recipients within the organization.
6. Maintaining Front Office Area: Keeping the front office area clean, organized, and presentable at all times, creating a welcoming environment for visitors.
7. Administrative Support: Assisting with various administrative tasks, such as data entry, filing, and document preparation, as needed by other departments.
8. Monitoring Access: Maintaining security and access control by ensuring that only authorized personnel enter restricted areas and issuing visitor badges as required.
9. Assisting with Visitor Arrangements: Helping with travel arrangements, accommodation bookings, and transportation for visitors, if necessary.
10. Coordinating Meetings: Assisting in organizing meetings by booking conference rooms, arranging refreshments, and managing audio-visual equipment, when applicable.
