Back Office Sales Coordinator

TCR Engineering is seeking a dynamic Back Office Sales Coordinator to help expand our client base for lab testing and inspection services. This position is responsible for managing sales proposal submissions, documentation, maintaining accurate records, tracking proposals, and ensuring efficient follow-ups to support business growth and client satisfaction.
**Key Responsibilities**:
**1. Enquiry Management**
- Acknowledge client enquiries and Requests for Quotation (RFQs).
- Maintain and update the enquiry log for tracking and reference.
**2. Bid Tracking & Coordination**
- Maintain a comprehensive log of all bids and their respective closing dates.
- Coordinate with the Bidding Officer in Saudi Arabia to ensure proposals are prepared and submitted on time.
**3. Proposal Submission & Follow-up**
- Prepare proposals using Bexel software (training will be provided during Back Office Coordinator training in Saudi Arabia), in coordination with the concerned Sales Engineer and Sales Manager for pricing, terms and conditions and technical inputs.
- Coordinate with the Saudi sales team to ensure timely submission of proposals to clients.
- Track proposal status and follow up with clients after submission to secure purchase orders.
**4. Vendor Registration & Portal Management**
- Manage vendor registration processes on various client and vendor portals.
- Ensure all company profiles and documentation are up to date and compliant.
- Monthly update and maintain company documents on relevant portals to ensure readiness for upcoming bids.
**5. Payment & Purchase Order Follow-ups**
- Track invoice payments and share updated Statements of Account (SOA) with clients, in coordination with the Saudi accounts team, to follow up on payments.
- Acknowledge receipt of POs and coordinate with internal departments in Saudi (e.g., NDT, MET, WQT) for execution.
**Preferred Background**:
- Prior experience in industrial testing labs, NDT, metallurgy, or inspection services is highly preferred
- Understanding of materials testing, QA/QC, and engineering industries
- Excellent communication and presentation skills
- Ability to work independently and deliver on targets
- Attention to detail and accuracy in documentation.
- Proficiency in MS Office (Excel, Word, Outlook) and online vendor portals (e.g., SAP Ariba & Oracle ERP).
- Ability to multitask and work under pressure with tight deadlines.
**Requirements**:
- DME with NDT background or Bachelor’s degree in Business Administration, Sales, or a related field.
- 2-4 years of experience in sales coordination, back-office operations, or similar roles.
- Experience working with vendor registration systems and client portals is an advantage.
- Valid passport with willingness and ability to travel internationally for business requirements.
