- Route calls to specific individuals and take messages when necessary.
- Coordinate meeting arrangements for visitors, including booking meeting rooms.
- Handle incoming and outgoing mail efficiently.
- Schedule appointments and maintain appointment calendars for staff.
- Assist in issuing parking passes and travel vouchers as needed.
- Relay messages accurately and in a timely manner.
- Update employee and department directories; provide necessary instructions to visitors.
- Maintain security by monitoring visitors, issuing badges, and following procedures.
- Ensure reception area is clean, organized, and complies with safety regulations.
- Document and communicate any irregularities or ongoing needs to the appropriate
- personnel.
- Contribute to team efforts by supporting colleagues and accomplishing related tasks.
- Maintain a comprehensive filing system and handle all correspondence appropriately.
- Assist in planning and organizing meetings, conferences, and conference calls.
- Manage inventory of office supplies and monitor usage.
- Coordinate the repair and maintenance of office equipment.
- Provide word-processing and secretarial support as required.
- Respond promptly and courteously to public inquiries.
- Deliver excellent customer service to guests, ensuring their comfort, satisfaction, and safety.
- Report any maintenance issues promptly to the line manager and assist in resolving them.
- Provide necessary reports for housekeeping and management as requested.
- Act as the first point of contact for guests and emergency services during evacuations or
- emergencies.
- Maintain personal knowledge by completing training programs and workbooks.
- Carry out instructions from the management team and head office efficiently.
Qualification
- Bachelor degree or equivalent experience in administration or related field.
- Proven experience in a similar role, preferably in a corporate environment.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office Suite and other relevant software.
- Ability to work independently with mínimal supervision.
- Exceptional customer service skills.
- Attention to detail and accuracy.
- Ability to adapt to changing priorities and work under pressure.
Pay: ₹20,000.00 - ₹30,000.00 per month
