The Technical Assistant to COO role, is saddled with the responsibility of providing a wide level support that will allow the COO to function more efficiently and effectively in achieving the organisational objectives.
A Technical Assistant provides a combination of administrative and technical support to the COO, ensuring smooth daily operations and efficient communication. This role acts as a liaison between the COO and other stakeholders, manages the COO's schedule, prepares reports, and manages effective credit control and overall credit health for the organisation.
This role majorly will manage customer’s demand fulfilment and credit management for the organisation. For any organisation to maintain a healthy cash flow and minimize bad debts they need a proper credit management which is why this role is very critical and indispensable.
**Key Responsibilities: -**
The main responsibilities and duties of a **Technical Assistant** includes:
Ø Assess the creditworthiness of new and existing customers on a yearly basis.
Ø Ensuring correct and right amount of stocks are delivered to customers.
Ø Monitoring and tracking pending invoices.
Ø Ensuring all pending stocks are branches are cleared monthly - 45days.
Ø Addressing and resolving payment discrepancies, disputes and billing issues.
Ø Debt collection and collaborating with Sales team on timely collections.
Ø Maintaining accurate records of customers' payment history and debt recovery efforts.
Ø Building and maintaining solid relationships with the BMs, Sales team and debtors while enforcing payment obligations.
Ø Conduct monthly Accts Recevible reviews and ensure collection commitments are timely met by the sales team.
**Top 3 Skills required for this role: -**
Ø **Numerical and Analytical Skills**: Most of the time, this role is required to analyse financial data, calculate outstanding balances and assess the creditworthiness of debtors. Hence, strong numerical and analytical abilities are crucial in making informed decisions about order fulfilment and payment terms.
Ø **Being capable of Working Under Pressure**: The role often deals with high
- pressure situations especially during month ends and during seasons. For instance, the role might need to chase overdue payments or resolve invoice disputes and most of the times the customers aren’t always friendly. That’s why the TA needs to be composed and remain focussed even when working under pressure to manage challenges and ensure organisational requirements are met.
Ø **Die Hard Attitude and Willingness to Learn**: Since the field of credit control is ever evolving and more so in the professional beauty space. The person should also have a proactive attitude towards learning and be in tune with latest industry practises. Must coordinate with sales team and relentlessly chase all stake holders involved, till the overdue payments are fully cleared.
