**Job Description: Admin Executive**
**Position Overview**: The Admin Executive will support the Administrative Manager in ensuring smooth office operations and vendor management, maintaining resources and records, and assisting various departments with administrative tasks. This role requires an organized and detail-oriented individual with strong communication skills to ensure the timely and efficient delivery of services.
**Key Responsibilities**:
**Vendor Onboarding & Vendor Management**
- **Signing Term Sheet with Vendors**: Ensure that the necessary agreements are signed with each vendor.
- **Procurement of Quotations**: Obtain a minimum of three quotations for all purchases
- **Negotiation for Best Terms**: Work with vendors to secure the best possible credit terms and pricing.
**Support Services to Operations, Sales, and the Company**
- **Timely Delivery of Equipment**: Ensure that equipment is delivered as per requisition within the defined lead time
- **Monthly Purchase Plan**: Assist in preparing and updating the monthly plan for equipment procurement
- **PCC for New Employees**: Ensure the timely issuance of Personal and Company Credentials (PCC) for new hires
- **Company Event Assistance**: Provide support in planning and executing company events as needed
**Resource Management**
- **Office Staff Management**: Assist in the efficient management of office staff and resources
- **Office Supplies Management**: Ensure proper management and ordering of office supplies
- **Monthly Equipment Update**: Maintain records and update the equipment list across all schools
- **PO Tracker Management**: Ensure the real-time updating of the Purchase Order (PO) Tracker to reflect all purchases and expenditures
**Record Keeping & Renewals**
- **Asset and Equipment Records**: Maintain proper and accurate records of all company assets and equipment
- **Travel Arrangements**: Ensure timely and efficient booking of tickets and accommodations for employees
- **School Visits**: Conduct surprise visits to schools as part of the company’s operational oversight
- **Timely Renewals**: Ensure that all Annual Maintenance Contracts (AMCs), insurance policies, and licenses are renewed in a timely manner
**Required Skills & Qualifications**:
- **Education**: Bachelor’s degree or equivalent in Administration, Management, or related field.
- **Experience**: Proven experience in administrative roles, preferably in vendor management or office operations.
- **Skills**:
- Strong organizational skills and attention to detail.
- Excellent communication and negotiation skills.
- Ability to multitask and manage time effectively.
- Proficient in MS Office (Excel, Word, PowerPoint) and other office management software.
**Additional Information**:
- **Work Environment**: Office-based with occasional travel for vendor management or school visits.
Pay: ₹25,000.00 - ₹30,000.00 per month
