**Job Summary**
Perform the duties required for Tririga maintenance, assist purchasing team, estimating, budgeting, ordering, delivery scheduling, and tracking invoicing of all equipment purchasing as it relates to fixed assets and purchases not for resale. This includes all capital projects such as new stores, expansions, remodels, and existing stores equipment replacement.
- Experience Required: 2-4 years experience in purchasing
- Education Desired: High school diploma or equivalent
- Lifting Requirement: Up to 50 pounds
- Travel Required: Regional - Daily, Less than 10%
Job Responsibilities
- Collect, synthesize and manage information flow for support of the Tririga Equipment Purchasing Software. Work directly with Store Planning and Store Design on constant maintenance of equipment library.
- Assist Store Equipment Purchasing staff in the preparation and execution of general procurement activities.
- Act as site administrator for the software: Standardize electronic buying system, standardized sourcing process and procedures, Tririga Purchasing Software including responsibility for documentation, security administration, and testing of new enhancements/upgrades.
- Maintain vendor information in Tririga to ensure accuracy.
- Purchasing Manual and Training Manual maintenance
- Research and maintain detailed catalog and equipment specifications in the Purchasing system in conjunction with Retail Operations and Store Planning. Assist with tactical sourcing of equipment.
- Review specific project floor plans (T-1 Plans) with Store Planning, Engineering, and Construction teams members in the preparation of equipment cost estimates and budgets for all assigned projects using the standard purchasing department review checklists.
- Solicit and review project specific equipment proposals and order acknowledgments for compliance with current standards.
- Establish (lock) budget into Purchasing system and distribute budget information to Project Manager. Review requisitions and approve purchase orders to delivery schedule. Review all purchase orders to ensure accurate detail of equipment requirements, delivery address, dates, and costs.
- Prepare, distribute, and update delivery schedule from Tririga as required by ongoing modifications to the project schedule and track or follow up on missing and late deliveries of damaged goods.
- Coordinate project revisions (SPCR's) with Store Planning, Engineering, and Construction team members. Adjust equipment orders and deliveries to support these changes.
- Review and process all equipment invoices and provide reconciliation of invoices that do not match purchase orders to ensure accuracy to budget and expedite the correction of inaccurate invoicing and project closeout.
- Work closely with the Accounting Department, review monthly job cost reports to monitor the committed and invoiced against budget cost for all assigned projects. Coordinate the close-out projects in accounting following the published close-out schedule.
- Conduct periodic site visits to ensure order compliance and delivery receipt.
- Coordinate periodic site visits with Manager, Fixed Assets based on project requirements to ensure order integrity, inspect equipment installation and compliance to performance standards and specifications. Participate in the final walk-through evaluation (Punch List) for all major construction projects.
- Work with Manager, Fixed Assets on the reuse of used equipment. Coordinate the relocation or delivery from storage of all used equipment.
- Maintain accurate files and archives to ensure accurate historical data for future use in major renovations.
- Continuously improve department workflow by reviewing, revising and establishing workflows and respective standard operating procedures using the GEBS methods.
- Run timberline accounting reports for forecasting
- Provide excellent customer service to internal team members by following up with customer requests in a timely manner & provide value add solutions.
