**Reports To**: Office Manager/Center Administrator
**Job Summary**:
The Receptionist serves as the first point of contact for the Arbitration and Mediation Center, ensuring a welcoming and professional atmosphere for clients, attorneys, arbitrators, mediators, and other visitors. The role involves handling front desk operations, managing appointments, and providing administrative support to facilitate smooth functioning of the center.
**Key Responsibilities**:Front Desk Operations**
- Greet and assist clients, mediators, arbitrators, and other visitors with professionalism and courtesy.
- Answer, screen, and route incoming calls, providing accurate information or directing them to the appropriate personnel.
- Maintain a neat and organized reception area, ensuring it reflects the center's professional image.
**Appointment Management**
- Schedule and coordinate arbitration or mediation sessions, ensuring appropriate allocation of meeting rooms and resources.
- Maintain an up-to-date calendar for sessions, appointments, and meetings.
**Administrative Support**
- Handle incoming and outgoing mail, courier services, and other correspondence.
- Assist with document preparation, copying, scanning, and filing as required.
- Manage office supplies inventory and coordinate with vendors for replenishment.
- Support the preparation of case files and ensure timely dissemination of notices to relevant parties.
**Client Relations**
- Act as the primary liaison for inquiries regarding arbitration and mediation services.
- Address complaints or concerns promptly, escalating them to the appropriate authority when necessary.
**Facility Coordination**
- Ensure meeting rooms are clean, stocked with necessary materials, and equipped with audio-visual tools as needed.
- Coordinate with housekeeping and maintenance staff for facility upkeep.
**Qualifications and Skills**:
- **Education**: High school diploma required; Bachelor's degree preferred.
- **Experience**: 1-3 years of experience in front desk, administrative, or customer-facing roles, preferably in a legal or professional services environment.
- **Technical Skills**: Proficiency in MS Office (Word, Excel, Outlook); familiarity with appointment scheduling tools.
- **Communication**: Excellent verbal and written communication skills.
- **Interpersonal Skills**: Strong customer service orientation and ability to maintain a calm demeanor under pressure.
- **Organizational Skills**: Ability to multitask, prioritize, and manage time effectively.
- **Other Requirements**: Professional appearance and demeanour; understanding of confidentiality and sensitivity in legal environments.
**Work Environment**:
- Office-based role with a professional dress code.
- Requires sitting at a desk and using a computer for extended periods.
- Interaction with diverse clients, attorneys, and staff in a formal setting.
Pay: ₹12,000.00 - ₹20,000.00 per month
