**Work Location**: Prabhat Colony, Santacruz (E), Mumbai location
**Working Hours**: Monday to Saturday, 10.00 am to 6.00 pm
**JOB DESCRIPTION**
As an administration In Charge, your responsibilities and functions will include but not be limited to the following:
- You will be responsible for Supervising clerical (Hostel, Housekeeping, Garden, Office Administration and Kitchen) and administrative personnel by communicating job expectations, appraising job results, and disciplining employees.
- Hostel:
- Responsible for allotment of rooms to the students.
- To ensure housekeeping and cleaning of the Hostel.
- Ensure safety and security of all boarders at all times and maintenance of discipline in and around the Hostel.
- Responsible for maintenance of the hostel, no damage to the hostel furniture and fittings and timely repair.
- Keeps strict discipline among students of the hostels.
- Reports to the Director in case of any indiscipline or misbehaviour by the students.
- Looks into the grievances/complaints of the students if found genuine.
- Arranges for first-aid in case of any emergency and arrange for hospitalization of student/ staff, if required.
- Work on various administrative activities of the institute wherever and whenever required
- Housekeeping, Garden, and Office administration
- Develops and implements policies and procedures to improve operations and function of the department.
- Monitor, procure and manage Inventory of supplies needed for Housekeeping, Garden and Kitchen.
- Maintain and incorporate appropriate SOPs of the inventory process
- Manage and organize facilities services, maintenance activities and tradespersons (e.g., Electricians)
- Building and maintaining relationships with all department heads, external partners, and vendors to deliver on approved and agreed upon plans.
- Ensures a safe, secure, and well-maintained facility that meets environmental, health, and security standards
- Manages the maintenance and repair of machinery, equipment, and electrical and mechanical systems
- Kitchen Administration:
- You will be responsible for ordering food and supplies and negotiating with vendors to achieve optimal pricing and meet budgeted costs
- Order materials, supplies, and ingredients based on demand.
- Monitor inventory levels and perform weekly inventory assessments.
- Coordinate with the chef (Maharaj) to check on inventory.
- Store all food products in compliance with health and safety regulations.
**Requirements for the role**:
- Bachelor’s degree in business administration, management, or a related field.
- in a related field, such as management or financial reporting, preferred.
- Exceptional leadership and time, task, and resource management skills.
- Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
- Proficiency with computers, especially MS Office.
- Ability to plan for and keep track of multiple projects and deadlines.
- Familiarity with budget planning and enforcement, human resources, and customer service procedures.
**Probationary Period: 3 months**
**Food Policy-** Yoga Institute is an Ashram that promotes Satvik and holy living to all. You cannot order food from outside while you are at the institute. Only Vegetarian food is allowed at the Institute. Yoga Institute provides Satvik food to all associates working for them however if the associate wishes to carry his/her own lunch box, it has to be a vegetarian food. STRICTLY NO NON-VEG food will be allowed during working hours.
**Leave Policy - **12 Annual leaves in a year that includes National and State Holidays
**Work ethics**: While at work, smoke breaks are not allowed. Smoking is strictly prohibited and associates are not allowed to go out of the workplace to have their smoke breaks and resume work.
